General Admin, Inventory, Supply Assistant - English / Italian
Budget: £2 – £5 GBP
Day-to-day operations have outgrown my bandwidth, so I’m handing off three intertwined areas: general admin, inventory management, and supply-chain coordination. Everything currently lives inside Google Workspace, so ease with those tools is non-negotiable. We communicate via discord and actively use Gemini and Canva,.
• General admin
- Communication via Discord and Email
– Own the calendar, setting up internal and client meetings across time zones.
– Draft and polish documents, slide decks, emails in Google Docs or Slides.
- active participation in planning meetings and reporting to the team
• Inventory management
– Keep daily SKU counts accurate in our Google Sheets dashboard.
- Work on creating a dashboard for external use
– Reconcile physical counts, flag low-stock items, and suggest reorder points.
- request reports from partners to update inventory
• Supply-chain logistics
– Liaise with suppliers and freight forwarders, track shipments, and update ETAs.
– Prepare basic shipping paperwork and highlight any delays or cost variances.
Deliverables I’ll measure weekly: an up-to-date stock report, a clear status log, and a conflict-free calendar with all supporting docs ready for each meeting.
Our workflow is 100% online, so strong written and verbal English and Italian as well as quick response times are essential. Familiarity with tools like Dext and Xero is a plus, but not required; if you can master Google Sheets formulas and keep communications crisp, we’ll work well together.
Communication is essential for remote work so we expect you to overcommunicate your availability. We offer paid learning time and try to balance work-life as well as possible - I do not expect you to respond in the middle of the night or on weekends. European work hours are necessary. as a start, you will share a team email and while the support role is part time for now, we want to find the right partner to grow full time with us.
