Executive Assistant
Budget: $15 – $25 USD
I need an organised, tech-savvy assistant who can keep my calendar perfectly aligned while handling the bulk of my day-to-day communication.
Your top priority is scheduling and calendar management. You’ll own my Google Calendar end-to-end: coordinating client calls, coach sessions, partner meetings, travel blocks and last-minute changes, all while protecting focus time and eliminating double-bookings.
At the same time, you’ll manage my email inbox. I’d like you to triage messages, draft replies in my voice, flag anything requiring my direct input, and maintain a clean, well-labelled archive.
A growing part of the role involves podcast and article reach. Researching, pitching, and securing guest podcast opportunities (finding aligned shows, drafting outreach emails, scheduling). Supporting my article and media efforts (researching outlets, managing submissions, formatting drafts, light editing/proofing).
Tools you’ll touch daily: Google Workspace (Gmail, Calendar, Docs), Calendly, Slack, Zoom and Airtable for tracking podcast leads. Familiarity with any lightweight CRM or podcast-booking platform is a plus.
Acceptance criteria
• Zero calendar conflicts and same-day resolution of scheduling requests
• Inbox response time under 24 hours with clearly flagged priority items
• A steady pipeline of confirmed podcast appearances with dates, times and prep details recorded in Airtable/Calendar
I operate on US business hours and prefer at least two brief check-ins per day. When you reply, share a quick example of where you’ve balanced executive support with outreach or podcast logistics, and outline the systems you lean on to stay ahead of deadlines.
