Zoho Workflow Overhaul for Property management

I run a combined property-management, construction and Airbnb operation and rely on Zoho to keep everything moving. Right now I have several workflows live in Zoho CRM, Zoho Flow and a few related apps, but they grew piece-by-piece and now feel disjointed. Before a new staff member joins next month I want the entire system cleaned up, streamlined and expanded so it can scale with the business.

The focus areas are clear:
• Leads management – capturing, qualifying and nurturing sales and rental enquiries.
• Tenant management – onboarding, communication, maintenance tracking and renewals.
• Integration with our booking platforms and website – data must sync both ways without manual exports.
• Overall organisation and data structure – consistent fields, pipelines and permissions so reports are actually useful.

What I need from you
1. Audit the current Zoho setup, map every module, workflow and integration, and highlight redundancies or conflicts.
2. Propose and implement a unified architecture that keeps property, construction and short-stay activities in distinct yet connected pipelines.
3. Build or refactor automations in Zoho CRM / Flow (or Creator where appropriate) so that lead capture, tenant lifecycle and platform syncing happen automatically.
4. Test each flow end-to-end, document it in plain language and record any custom functions for future reference.
5. Provide light training notes so my incoming employee can step in confidently and so we can continue working together on new iterations.

I’m looking for someone who already lives in the Zoho ecosystem and who enjoys turning messy processes into elegant, low-touch systems.
