Description:
We are a general trading company based in Dubai, focused on receiving client orders, procuring goods, and shipping them to Djibouti via air or sea. We are seeking a Zoho expert to design and implement a streamlined workflow using Zoho applications. The goal is to automate and simplify our processes to improve efficiency for our team.
Scope of Work:
Process Mapping & Consultation
- Analyze our current process (outlined below) and provide recommendations for improvements.
- Suggest the best Zoho tools for each step of the workflow.
Zoho Creator
- Build custom forms for:
- Client request intake.
- Supplier RFQs (Request for Quotations).
- Create workflows to automate:
- Status updates (e.g., order status, payment status).
- Notifications for approvals and pending actions.
- Design a dashboard for real-time tracking of all orders.
3. Zoho Inventory
- Set up and configure Zoho Inventory to:
- Track client orders and supplier procurement.
- Manage shipping and delivery tracking.
4. Zoho CRM
- Integrate Zoho CRM to manage client interactions and order history.
- Automate follow-ups for quotes, payments, and delivery updates.
5. Zoho Books
- Integration with the procurement and order management process.
6. Zoho Flow
- Set up Zoho Flow to automate integrations between:
- Zoho Creator, Inventory, CRM, and Books.
Automation and Notifications
- Automate repetitive tasks like:
- Status updates in the system.
- Sending quotes, invoices, and payment reminders.
- Configure approval workflows (e.g., GM approval for purchases above a threshold).
Testing and Training
- Test the entire system for functionality and ensure all workflows are working smoothly.
- Provide a short training session or documentation for our staff.
