Zoho CRM Solution Architect Consultant Needed (Structure, Mobile Usability, AI-Readiness, Analytics)
Budget: ₹12,500 – ₹37,500 INR
We are building a high-trust, AI-optimized real estate brokerage system on Zoho. We already manage our properties in Zoho CRM, and it is integrated with our website. Our current setup is: Zoho CRM for property data management, a backend layer, and a frontend website. Property data flows between these systems through APIs.
I already have a detailed blueprint with multiple workflows, objectives, and hundreds of fields. Though I am open to listen to more ideas, however my challenge is not the ideas, but my challenge is architecture, usability, and correct logic design. I need an expert who can guide me to structure everything in a way that is easy to navigate, not cognitively heavy for agents, and designed so that AI can improve the effectiveness of the system over time. The system must support fast response to leads, transparency, better conversion, and data-backed decision-making instead of memory-based handling.
Mobile access is critical because my team works on-field. The system must be practical and efficient on a mobile phone. If required, the consultant should recommend whether the Zoho CRM mobile app is sufficient or whether we should build a dedicated Zoho-based app to support field workflows for agents with full desktop features.
I will attach my objectives and I will share module wise sections and fields once we have agreed on objectives. Your job is to take my objectives and my existing field blueprint and convert them into a clean, scalable Zoho architecture plan, along with a clear implementation guide and strong reasoning behind every major logic decision. At this stage, I do not need development. I need expert guidance and a complete blueprint that developers can implement later. The design must also be mindful of Zoho/API limits and should avoid approaches that may exceed API usage limits, exceed workflows limits or create performance bottlenecks.
The system should also include clear rules on what is internal-only vs what can be shared externally (PDF/website/WhatsApp).
DELIVERABLES
1) Complete Zoho Architecture Blueprint
• Data model planning (how records should relate, what should be master vs dependent, what should be logged vs calculated)
• Field grouping strategy to reduce cognitive load (agents should not face long forms)
• Progressive disclosure plan (show only what is needed at each stage)
• Naming conventions and standardization rules (picklists, tags, statuses, scoring fields)
• Strong reasoning for why the structure is chosen (so it can be defended and implemented correctly)
2) Mobile-First Usability Plan
• Mobile-friendly layout strategy for fast on-field usage
• Minimum-click flow for agents and telecallers
• Recommendation on the best approach for mobile: Zoho CRM mobile app usage vs a dedicated Zoho app (if needed)
• Offline/low-network considerations (if applicable) and practical handling suggestions
3) Zoho Apps Recommendation and Optional Third-Party Tools
• Recommend which Zoho applications should be used (example: Zoho CRM, Zoho Analytics, Zoho Creator, Zoho Forms, Zoho Desk, Zoho Campaigns, etc.) based on my objectives
• If any third-party tool is needed, recommend it with clear justification (why it’s needed, what problem it solves, and how it integrates)
4) AI-Readiness Plan
• Where AI should generate summaries, explanations, ranking signals, and internal advisory notes
• Rules for human control and overrides
• How AI outputs should be stored (safe, auditable, structured)
• What should remain internal vs what can be shared externally
5) Analytics & Performance Measurement Plan
• What should be tracked at property level, enquiry level, and team level
• Definitions for core indices and scoring concepts (liquidity/performance/intent-style scoring)
• What should go into Zoho Analytics vs Zoho CRM reports
• Dashboards that are actionable (not noisy)
6) Developer Ready Implementation Handover Pack
• Step-by-step build plan and sequencing
• Workflow automation outline (status changes, validation rules, required checks)
• Required custom functions / integrations (high level)
• Testing checklist + rollout plan for my team
Key Qualification Requirements from the Zoho Expert
• Proven experience as a Zoho CRM Solution Architect / Zoho Consultant (not just customization)
• Strong knowledge of Zoho architecture: layouts, permissions, workflows, blueprint, validation rules, custom functions
• Experience designing mobile-friendly CRM usage for field teams (real estate experience is a plus)
• Ability to simplify complex systems without losing depth
• Must write and explain logic in simple, structured English
• Must focus on guidance and reasoning (development is not required at this stage)
