Zoho Automation for Sales Follow-Ups
Budget: $2 – $8 USD
1. Event → Auto Task Creation
Trigger: When a meeting/event is created in CRM.
Actions:
Create a Task linked to the same record (Lead/Contact, Account, Deal).
Task name auto-generated: "Follow-up: [Event Subject]".
Task due date: 1 day after the event.
Task owner: Event owner.
2. Map Event Attendees → Individual Tasks
Trigger: Event saved with multiple invitees.
Actions:
For each invited CRM User, auto-create a Task under their name:
Subject: "Follow-up on [Event Subject]".
Due: +1 business day.
Reminder: Email/CRM notification 1 hour before.
For external contacts (Leads/Contacts), create a task reminder for the Account Owner.
3. Link Event to Account & Deal
Trigger: If Event is logged under a Contact/Lead.
Actions:
Use lookup mapping:
If Contact belongs to an Account → auto-attach follow-up Task to that Account.
If Contact has an open Deal → create parallel Task under that Deal.
4. Automated Follow-Up Sequence
After the event date passes:
If “Follow-Up Task” is not marked completed →
Day 2: Send reminder to Task Owner.
Day 5: Escalate to Sales Manager in Cliq/email.
Day 7: Auto-add Contact/Deal to a nurture campaign in Zoho Campaigns.
5. Best Practice Enhancements
Use Blueprint for structured sales follow-ups (call → meeting → proposal → follow-up).
Sync Google/Outlook calendar → CRM auto-generates tasks for external invites.
Store meeting notes in the Deal automatically after event closure (via Deluge script).
Example Flow (Scenario)
Rep schedules “Demo Call” with 2 attendees.
CRM auto-creates follow-up task for:
The Rep (owner).
Each invited CRM user.
The Account record.
The Deal in pipeline.
After the event → “Follow-Up: Demo Call” tasks are due next day.
If not completed → auto-reminders + escalation.
