Notion Systems Architect – Company-Wide Project & Activity Management

We are looking for an experienced Notion expert to design and build a company-wide project and activity management system.

The system must cover the full hierarchy:
CEO → Departments → Projects → Tasks → Employees

This is not a simple task board. We need a structured, scalable Notion workspace used for real execution and reporting.

Scope of Work

Design a centralized Notion system (single source of truth)

Build linked databases for:

Company Objectives

Departments

Projects

Tasks / Activities

Employees

Create role-based dashboards:

CEO (high-level overview, progress, risks)

Managers (projects, KPIs, team workload)

Employees (personal tasks & priorities)

Ensure clear ownership, status tracking, and progress reporting

Deliver clean structure, not template clutter

Provide documentation and handover session

Requirements (Mandatory)

Proven experience building Notion systems for companies (not personal use)

Strong understanding of database relations, rollups, and formulas

Experience with role-based views and permissions

Ability to translate organizational structure into Notion

Clear, scalable, and maintainable design

Nice to Have

Experience with OKRs or strategic planning in Notion

Experience building reporting dashboards for executives

Previous work with multi-department organizations
