Automate Last-Order Date Sync

Build a fully automated system that keeps track of when each customer last ordered, so that me and my sales reps can easily see this in both list view in Zoho CRM and map view (Zoho RouteIQ).

The system must:

Maintain an always-up-to-date Last Order Date field in Zoho CRM Accounts Module.

Allow filtering and reporting on customers by last order activity (30/60/90+ days).

Work seamlessly with Zoho RouteIQ, so we can visually see on a map which customers are active, at-risk, or dormant.

Be simple enough that non-technical sales reps can use it daily.

Phase 1: Custom Field Setup

Module: Accounts.

Field Type: Date

Field Name: Last Order Date

Requirements:

This field must automatically update every time an invoice is created or marked as Paid in Zoho Books.

It should always reflect the latest Paid/Sent invoice date for that customer.

If an invoice is edited or its date changes, this field must also update accordingly.

Important: Use Zoho CRM workflows or custom functions (Deluge) — do not use Zoho Flow to avoid Flow run limits.

Deliverable:

Fully working automation tested with a sample invoice.

Demonstration showing the field updates correctly in real time.

Confirmation that this field is available as a filter in Zoho RouteIQ so we can segment accounts by date ranges on the map.

Phase 2: Custom List Views for Sales Reps

Create four Custom List Views in CRM under Accounts:

Ordered in Last 30 Days → filter: Last Order Date is within last 30 days

Ordered in Last 60 Days → filter: Last Order Date is within last 60 days

Ordered in Last 90 Days → filter: Last Order Date is within last 90 days

No Orders in Last 90 Days → filter: Last Order Date is more than 90 days ago OR is empty

Deliverable:

Reps can click one of these views and instantly see which clients are active/inactive.

These filters must also be usable as criteria inside Zoho RouteIQ, so we can pull up a map view of, for example, all customers who haven’t ordered in 90 days.

Phase 3: RouteIQ Map Views (Critical Requirement)

Configure Zoho RouteIQ so that:

Accounts are colour-coded by last order activity: (please see attached screenshot for the below colour coded guide).

Active (<30 days)

At Risk (30–90 days)

Dormant (>90 days or no orders)

Reps can toggle which group to view on the map (e.g., show only dormant clients).

Ensure this is easy to use: a rep should be able to open Zoho RouteIQ on desktop or mobile and quickly see who needs a follow-up visit.

Deliverable:

Fully functional RouteIQ filters or views.

A quick guide for reps (or a short video) showing how to use it.

Phase 4: Dashboard + Alerts

Dashboard: Create a CRM dashboard widget or report summarizing Active / At-Risk / Dormant counts.

Alerts: Create workflow rules to:

Notify the account owner when a client passes 60 days without an order.

Additional Notes

Solution must be stable and low-maintenance — no Zoho Flow reliance.

Confirm field API names used so we can maintain this later.

Must work across CRM web and mobile and be fully usable within RouteIQ map view.

Deliver a brief documentation or walkthrough video for my team.

You may also need to check that Zoho CRM and Zoho Books are syncing without any errors, if there are some errors they will need to be fixed so that all invoices and relevant data are syncing properly.
