Zoho Automation Overhaul and improvement

I built our Zoho One environment five years ago and it has grown organically since then. Today the biggest friction point is the way we generate documents: dozens of templates, too many manual touch-points, and no simple way for our clients to review or supply their own data. I want that entire document-creation process fully automated inside Zoho.
Here’s what I have in mind. A client logs into a branded portal, verifies or enters key details, and the system instantly merges that data into the right contract template—no copy-paste, no double entry. From there we trigger approvals, e-signing and storage without human intervention. I’m open to using Zoho Writer, Sign, Creator, Flow and any other native tools, plus AI features (Zia or OpenAI) for smart field suggestions and error checking.
Deliverables I need to see:
• End-to-end workflow diagram showing data flow from Zoho CRM to the generated contract
• Re-built templates in Zoho Writer with dynamic merge fields mapped to CRM/Creator data
• Client portal (Creator or an alternative you recommend) that handles data entry, verification and status tracking
• Automated actions: document generation, notifications, e-signing, final PDF storage and CRM updates
• Documentation and a brief hand-off session so my team can adjust templates later
Success for me means a client can get a seamless experience with limited staff intervention while the system maintains data accuracy and an auditable trail.
