Assignment Note: Customization of Zoho Creator Fleet Hub Application for Internal Fleet and Rented Vehicle Management
Objective:
To streamline and digitize the tracking, billing, and verification of vehicle usage (including rented and owned vehicles) using the Zoho Creator “Fleet Hub” application with required customizations and integration with BlackBuck GPS tracking devices.

Scope of Work
You are required to customize and extend the existing Zoho Creator “Fleet Hub” application to manage four vehicles under the following categories:
Two Rented Light Commercial Vehicles (LCVs)


One Owned LCV


One Owned Car (used for farm-related movement)



Functional Requirements
1. Rented Vehicles (2 Units) – Payable @ ₹13/km
Journey Start Process:
Supervisor will:


Upload a dashboard photo showing starting km into the app.


Enter the exact starting odometer reading.


Data to be synced/validated with BlackBuck GPS odometer reading for the same timestamp.


Journey End Process:
On completion, supervisor will:


Upload ending km dashboard photo.


Enter exact end reading.


Sync with BlackBuck end reading.


Billing & Reporting:
App should auto-calculate distance travelled and amount payable (km × ₹13).


Auto-generate bill/payment voucher linked to that journey.


Link each trip to:


Transported quantity/value of goods


Generate a cost per unit of goods transported (optional but preferred).


2. Own LCV – Diesel Log + Movement Report
Fuel Filling:
Driver must:


Log diesel refill: date, quantity (litres), amount, photo of bill.


Upload dashboard photo with current km.


Movement Logging:
All trips to be logged in the app:


From location → To location


Date & Time


Purpose of trip


Quantity transported (if any)


Integration with BlackBuck:
Sync GPS route and km with app log to:


Verify trip legitimacy


Calculate fuel efficiency (km/l) per fill/trip


3. Own Car – Usage & Fuel Log (Similar to Point 2)
Driver to maintain:


Fuel fill logs with photo & km


Trip details (locations, date/time, purpose)


Sync with BlackBuck for route validation and performance metrics



Additional Integration Notes:
BlackBuck Integration:


Pull data such as:


Odometer readings


Real-time location


Trip history


Match these with user-submitted entries for validation and alerts (e.g., deviation alerts or inconsistency reports)


Reports Required:


Daily/weekly trip log summary (vehicle-wise)


Diesel usage and cost summary (own vehicles)


Per-trip costing reports (rented vehicles)


Efficiency report (fuel consumption vs km)



Expected Output:
Enhanced Zoho Creator “Fleet Hub” application with:


Custom forms for journey logging and fuel entry


Automated billing and calculation modules


BlackBuck API integration for validation


Dashboard/reporting interface for admin/supervisor view
