Zapier and Ninja Forms Integration with ERP API Workflow

We are seeking an experienced Zapier automation developer with strong API integration experience to complete a workflow that connects a Ninja Forms submission from our WordPress website to our ERP system RazorERP.

The Ninja Form is already fully built and is connected to Zapier. The remaining requirement is to complete the API integration that will post the job to the ERP API.

This workflow will automatically create or update Contact and Address records and then submit a new Job or Order into the ERP system through our API.

This integration must be fully tested and deployed within 48 hours.

Workflow Requirements

When a form submission occurs in Ninja Forms:

Zapier is triggered automatically on submission.

Zapier must call our ERP API to check if:

The Contact already exists.

The Address already exists.

If either exists:

Retrieve existing IDs ContactID and AddressID.

If not found:

Create Contact through the API and retrieve ContactID.

Create Address through the API and retrieve AddressID.

With ContactID and AddressID available:

Submit a Job or Order into the ERP with all required fields from the form.

Technical Details

The form is already connected to Zapier.

All necessary APIs are available and documented in Swagger.

We will provide:

ERP authentication token

API base URL

Required field mappings

Access to development environment for testing

Create Job Order

Required Skills

Advanced experience with Zapier and webhook automation

Strong REST API integration skills using JSON

Ninja Forms integration experience is preferred

Ability to meet a short deadline and communicate clearly

Timeline

This project must be completed within 48 hours.

Includes mapping verification and testing.

Deliverables

Fully operational Zap workflow using the existing Ninja Forms trigger

Conditional logic for check then create then submit order

Live tested integration with the ERP

Documentation of API calls and field mapping for future updates

Success Criteria

A successful form submission must:

Locate or create the correct Contact and Address

Submit a Job Order into ERP with no missing required fields

Prevent duplicate data creation
