Zapier integrates with both so we should be able to create a few webhooks to keep everything running smoothly.

Here’s the 3 step process you need to deploy:

Step 1: One-Time Import of Upcoming Acuity Appointments into GHL
Objective: Sync the next 6 weeks of Acuity appointments into GHL so my team can begin managing everything inside GHL.

First, you export Acuity appointments for the next 6 weeks (CSV format).
Then, use GHL’s manual import or Zapier to import those appointments into the corresponding GHL calendar with correct contact details and time zones.
Tag these as “Imported from Acuity” or create a calendar-specific tag for clarity.

Step 2: Set Up Two-Way Sync Between Acuity and GHL During Transition Period

Goal: Ensure both platforms stay in sync while clients may still be booking in Acuity.

From Acuity → GHL:
Use Zapier to trigger on “New Appointment in Acuity” → Create Appointment in GHL.
Map fields such as name, email, date/time, and service type.

From GHL → Acuity:
Use a Zap or custom webhook setup to trigger on “New Appointment in GHL” → Create Appointment in Acuity (using the Acuity API via Zapier or Make.com).
Then you use include logic to prevent duplicates (e.g., check if appointment already exists in Acuity before creating).

Step 3: Finally you would fully Migrate to GHL and Shut Off Acuity Bookings


We’d be able to turn off public Acuity booking links and direct all new appointments through GHL Calendars.
Remove the GHL → Acuity Zap (you won’t need it anymore).
And I’d keep the Acuity → GHL Zap active for another few days (just in case of lingering reschedules/cancellations from Acuity users).
