About Me
I’m a founder and operator managing four active business roles across real estate, SaaS, and tech project management. I run my day across multiple email accounts and calendars, and I need a unified calendar system to stay organized and allow my assistant to manage my schedule effectively.
The Problem
I currently use:
3 Gmail accounts
1 Outlook account
Each has its own calendar. I need all events to populate into one master calendar automatically. Once unified, my assistant should have access to view and manage this master calendar without having to jump between multiple accounts.
The Mission
Set up a clean, reliable solution using Zapier (or a combination of Zapier + other integrations if needed) that:
Syncs all events from my 3 Gmail calendars and 1 Outlook calendar into a single master calendar.
Ensures updates are two-way (if possible) — so changes in the master calendar reflect back to the original calendars.
Shares this master calendar with my assistant so they can view and manage everything in one place.
Provides a short handover document/training so I know how to maintain it.
You Should Be
An automation expert with deep experience in Zapier, Google Workspace, and Microsoft Outlook integrations.
Familiar with calendar syncing limitations (ICS feeds, two-way sync issues, etc.) and able to propose the cleanest solution.
Able to set this up quickly and efficiently without overcomplicating the system.
A clear communicator who can walk me through the setup and leave me confident in the system.
Deliverables
One unified master calendar pulling in events from 3 Gmail accounts and 1 Outlook account.
Access permissions configured for my assistant.
Documentation / quick training session for ongoing use.
