Bookwhen Zapier Airtable Brevo Automation

We need an automation expert to set up Zapier Email Parser → Airtable → Brevo for Bookwhen booking emails. Must be delivered within 24 hours of hire.

We will provide:

Gmail access (for auto-forward setup)

Airtable access (base & table ready)

Brevo access (API + lists/tags)

Sample booking emails

Scope & Deliverables:

Configure Zapier Email Parser mailbox & parsing rules for Bookwhen booking emails.

Build Zap(s): Trigger = parsed email → Airtable (create/update record).

Map fields into Airtable: Booking ID, First Name, Last Name, Email, Phone, Course Name, Course City, Venue Name, Address, Course Date, Course Price, Status, Unique Key.

De-duplication: Unique Key = lower(email) + "-" + course_date(YYYY-MM-DD) (update if found, create if not).

Brevo Integration:

Create/Update contact in Brevo.

Add to list: UK Ear Training Delegates.

Tag with Course + City + Date (e.g., Cardiff-2025-08-30).

Gmail: configure auto-forward so only relevant Bookwhen emails go to Parser.

Error handling: notification if parsing fails or key data missing.

Documentation: parser fields, Zap steps, Airtable schema, Brevo sync, and instructions to revoke/remove access.

Acceptance Criteria:

New booking email creates/updates Airtable record and Brevo contact within 1–2 minutes.

Duplicate emails update existing record (no duplicates).

All fields are correctly populated (dates formatted, phone normalized).

Brevo contacts show in the right list with correct tags.

Full documentation provided.

Requirements:

Zapier Email Parser expert (please show at least 2 past parser projects).

Strong Airtable experience (find/update records, formulas).

Gmail filters & forwarding setup.

Brevo (Sendinblue) contact management automation.

Must deliver within 24 hours of hire.
