Engineering Document Workflow Creation

I want to formalise the way our teams draft, revise and approve documents, starting with engineering design specifications, then extending the same logic to marketing proposals and HR offer letters.

The finished workflow must walk a file from first draft to final release without confusion or side-tracks. At a minimum it must include:
• a structured document-review stage including a virtual questionaire,
• a clear multi-level approval process, and
• reliable version-control checkpoints so no one writes over approved text or loses prior iterations.

Please map the steps visually (flowchart or swim-lane diagram) and back them up with a concise written guide that my staff can follow. If you have experience embedding such flows in tools like SharePoint, Confluence, Google Drive or similar, let me know so we can choose the right platform for rollout.

Acceptance criteria
• The diagram shows every decision gate from draft through final sign-off.
• The written guide matches the diagram step-for-step.
• Version numbers and approval rights are unambiguous.
