Automate Email Management and Website Creation

We receive e mails on Outlook. We now manually transfer each mail in 2 steps to .doc format. And number them chronologically. All attachments like excel and .pdf are saved with suffixes like A,B C etc. Each mail goes to the customer/general file which is numbered in 4 digits. There there is a sub folder created for what we required. There is one folder for Financial year; another for all addresses; a third for customer registrations and so on. Within FY folers there are again separe folders for each enquiry we get. The folders are numbered sequentially like 1,2,34,4,5 etc. The folder naming is specified with 5 specific data so that by reading the same you know what is inside it. Inside we arrange everything sequentially beginning with 1. We write EMR for email received , EMS for E mail sent, Order for orders placed. WE have a specific format for each of these 5 types of papers that we generate. There are three types of format that is common. One is word, then excel and the third is .pdf. As each item comes they get numbered.
WE need to transfer al mails to our server system. Also these mails must be parallelly saved in Director INBOX where the same filing system works so that the same mail go on.
We have 7 computers working parallelly with the same e mail id. So any one person saving will automatically delete the mails from all the computers. There should be no mails in the inbox of any computer. Everybody needs to access the mails from the server and push it back there.
So this is one step. All we want is based on Microsoft software only. No cloud. No software which binds us to a person or entity.
We need to develop a professional website, mailer system with clear demacration as to whom to go , region wise etc; software to do costing and pull prices from pricelists and prepare offers etc. These are additional works. WE need a person who can do these jobs with us. It is a long terms opportunity and not a one stop job.
