Hotel Dashboard

Landing Page

Lodgn's landing page serves as the primary entry point for hotel owners and

interested users. It provides a professional overview of the platform's features,

benefits, and use cases. Key elements include:

Overview of Lodgn benefits and capabilities

Call-to-action buttons for registration and login

Testimonials and use case highlights

Feature previews: hotel builder, booking engine, and dashboard screenshots

Links to terms, privacy policy, support, and contact info

Hotel Owner Authentication (Registration & Login)

Hotel owners must authenticate themselves to access Lodgn’s platform. This

includes creating an account and securely logging in.

Registration Flow

Owner provides:

Full Name

Email

Phone Number

WhatsApp Number

Password

Terms and Privacy Policy acceptance

Login Flow

Email + Password combination

Forgot password and reset functionality

Once authenticated, hotel owners can proceed to create their hotel profile and

configure their management dashboard.


1. Hotel Creation

The hotel owner begins their journey on Lodgn by registering and creating their

hotel profile through a structured form. This form initializes the entire hotel

configuration and unlocks access to the rest of the management dashboard.

Information the hotel owner must provide:

Hotel Name (e.g., Grand Azure Resort)

Upload Logo (.png, .jpg)



Country & City selection

Full Address (e.g., El Salam Road, Naama Bay, Sharm El Sheikh)

Hotel Description

Contact Information (email, phone)

Star Rating (1–5)

Upon submission, the hotel is registered, and the owner gains access to their

dedicated dashboard.

2. Hotel Setup

a. Tax Management (Saudi Arabia Specific)

During the initial hotel setup, Lodgn allows the hotel owner to configure applicable

taxes based on their hotel's classification in Saudi Arabia. This ensures

compliance with local government tax requirements.

Saudi Arabia Tax Rules Supported:

Value Added Tax (VAT): Automatically applied at 15% on all bookings.

Municipality Levy:

5% for rooms in hotels rated four stars and above.

2.5% for rooms in three-star hotels and below.

0% in case the hotel prices already include the Municipality Levy.

The hotel owner selects their applicable levy rate during the configuration process

in Hotel Settings > Tax Settings.

Fields:

"Apply Municipality Levy": Yes / No

"Select Levy Rate": 2.5%, 5%, or 0%

These tax values are automatically applied in the booking total and reflected in

guest invoices.

After initial hotel registration, the hotel owner configures key operational entities.

These configurations will be used across unit creation and rate plan logic.

b. Meal Plans

The hotel owner navigates to Hotel Settings > Meal Plans to define the types of

meals provided by the hotel. These will be linked to rate plans later.

Examples of meal plans:

Breakfast

Half Board

Full Board

All Inclusive

For each meal plan, the owner provides:

A name (e.g., Half Board)

A description (e.g., Includes breakfast and dinner)

Note: Meal plans do not contain price adjustments themselves.

Pricing logic (including any meal-based pricing variation) is

fully handled at the Rate Plan level.

c. Cancellation Policies

Within Hotel Settings > Cancellation Policies, the hotel owner can select one or

more predefined cancellation policies created by the Lodgn admin. These policies

are designed to define refund conditions clearly and ensure consistency across

the platform.

Each predefined cancellation policy includes:

Name (e.g., Free Cancellation – 24h)

Description

Free cancellation window (e.g., 24 hours before check-in)

Penalty rule (e.g., one night charge)

Refund type (Refundable / Non-Refundable)

e. Hotel Policies

The hotel owner can configure general hotel-level policies, including:

Accepted payment methods (e.g., cash, card, online payments)

Check-in/check-out window (e.g., 2 PM check-in, 12 PM check-out)

Smoking and pet policies

f. Child Policy Configuration

Lodgn provides a robust and flexible child policy module, aligned with

Booking.com's structure. Each hotel can define one or more Child Policy Profiles,

which are then linked to unit types for detailed control.

Hotel owners configure this via Hotel Settings > Child Policies.

Fields in Child Policy Profile:

Age Brackets (up to 3):

e.g., 0–3 years (Infant), 4–12 years (Child), 13–17 years (Teenager)





Pricing Per Bracket:

Free / Fixed Fee (e.g., 100 EGP/night) / Percentage of adult rate

Max Free Children per booking and bracket

Extra Child Handling:

Allow additional child: Yes / No

Max additional children allowed

Pricing logic: fixed or percentage

Cots/Extra Beds Support:

Per age bracket, optional fees (e.g., 50 EGP/night cot fee)

Example: "Family-Friendly Policy"

Age Brackets:

0–6: Free, max 2 children

7–12: 150 EGP/night

13–17: Charged as adult

Extra child: 1 allowed, 50% of adult rate

Cots allowed for 0–3 years

Extra beds allowed for 4–12 years with 100 EGP fee

️ 3. Room Management

The hotel owner adds unit types—each representing a room category. A unit type

represents a set of identical rooms.

Each unit type must also be linked to a predefined Child Policy Profile configured

earlier in Hotel Settings. This ensures consistent pricing and occupancy handling

for children across the system.

To add a unit type, the owner clicks Rooms > Add Unit Type.

Fields provided by the owner:

Name (e.g., Deluxe Room with Sea View)

Description

Quantity (e.g., 20 identical rooms)

Max adults

Max occupancy (adults + children combined)

Area (sqm)

View type (e.g., Sea View)

Bed type (e.g., King Bed)

Bathroom description

️ Room Details Page

The hotel owner can access the Room Details Page to view all unit types created

previously under the Room Management section.

Each room entry includes:

Room name and description

Quantity

Occupancy limits (adults and children)

Area, view, bed, and bathroom details

Assigned amenities and uploaded images

Linked Child Policy Profile

This page provides a read-only summary and helps hotel owners review all

configured units in one place.

️ 4. Rate Plans

Lodgn exclusively uses Derived Rate Plans, simplifying the pricing process while

maintaining flexibility.

To create a derived rate plan, the hotel owner goes to Rooms > Unit Type > Add

Rate Plan.

Each derived rate plan includes:

Plan name (e.g., Half Board Promo)

Select base plan (e.g., Flexible B&B)

Adjustment type (Fixed only)

Enter adjustment value (e.g., +250 EGP)

Select meal plan

Choose cancellation policy (can differ from base)

Set booking rules:

Minimum stay (e.g., 2 nights)

Note: All pricing is handled via derived logic. Lodgn does not

support manually priced independent rate plans.


5. Rate Plan Pricing

Rate prices are based on the base rate plan and adjusted according to the defined

logic.

For each derived plan:

Base Plan Price (e.g., 2,000 EGP) + Adjustment (e.g., +250) = 2,250 EGP


The system will allow:

Viewing and editing base prices via the pricing calendar

Applying adjustments through derived rate plan settings

Bulk updates for base plan prices across date ranges or seasons

6. Availability Management

The hotel owner manages availability per unit type through Rooms > Availability

Calendar.

They can:

Set the number of rooms available per day

A day is bookable only if it has available rooms and a base rate defined

7. Publishing the Hotel Website

Once the hotel profile is fully configured, Lodgn generates a public hotel website

automatically. The hotel owner has control to publish or unpublish the site at any

time based on their readiness or seasonality.

8. Booking Management

The hotel owner can view and manage all reservations from Bookings >

Calendar/List View.

Features include:

View confirmed, pending, and canceled bookings

Filter reservations by date, status, or room type

Manually create bookings (e.g., for walk-in guests)

View guest contact and stay details

Add internal notes or requests (e.g., "honeymoon package")

Modify, cancel, or update booking status

Phase 2 – Advanced Hotel Dashboard Features

a. Tax Management (Globalization Expansion)

As Lodgn expands beyond Saudi Arabia, hotel owners in other countries will need

the ability to configure their own tax settings according to local tax rules and


regulations.

The global tax configuration system should support:

Adding multiple tax types (e.g., VAT, tourism tax, service fees)

Choosing between percentage-based or flat fee taxes

Defining whether tax is included or excluded in listed prices

Assigning taxes to specific items (room charges, add-ons, services)

Country-specific presets with override options

b. Guest Management

Access full guest profiles and booking history



Store preferences (e.g., sea view, non-smoking)

Export or delete guest data (GDPR-compliant)

c. Review System

Guests can leave ratings and reviews after checkout

Hotel owner can respond to reviews publicly

Display reviews on the public hotel website
