Subject: Project Brief: Custom Booking & Logistics Engine for Unity
Dear Freelancer,
Unity is looking to commission a custom-built web application to handle our unique "Collection & Delivery Only" MOT and servicing model. This platform must automate the booking journey while managing real-time driver availability.
1. Key Functionalities Required
VRM Integration: A lookup tool on the homepage via a RESTful API (e.g., Rapid Car Check or UK Vehicle Data) to pull vehicle make, model, and MOT expiry date.
Geographical Validation: Postcode verification to ensure the customer is within our defined service radius.
Logistics-Based Calendar: A booking system that calculates availability based on driver/logistics availability.
The "Double Event" Logic: Each booking must block a "Collection Window" (AM) and a "Return Window" (PM). Standard collection window is 8-10AM return is 4-6PM
2. Driver Handover Portal (Mobile-First)
We require a secure area for our drivers to complete a digital checklist at the customer's doorstep, including:
Photo Uploads: 4-point vehicle walk-around.
Digital Damage Map: Tap-to-log scratches/dents.
E-Signature: Capturing customer sign-off on vehicle condition and mileage.
Automated PDF: An instant "Receipt of Collection" sent to the customer upon driver submission.
3. Content & Trust Signals
The site will require a professional UI/UX that emphasizes our concierge nature. We have already prepared the "About Us," "Meet the Team," "Terms of Service," and "Handover Scripts" to be integrated into the layout.
4. Tech Stack & Payments
Responsive Design: Optimized heavily for mobile users.
Payments: Integration with Stripe for deposits and final balance payments.
Security: SSL encryption and secure API key management.
5. The "Workshop Node" (Client Communication)
A digital portal for customers to track their vehicle without visiting the garage:
Digital Evidence: Technician photo/video upload for MOT failures or advisories.
Interactive Quote & Approval: Customer-facing "Approve Repair" button for MOT failure items.
Payment Gateway: Integrated Stripe checkout for final balance settlement once the MOT is passed.
6. Automated Communication Stack (optional at this stage)
SMS Triggers: "Driver 10 mins away," "Failure Alert with Evidence Link," and "Ready for Delivery / Payment Request."
Email Workflow: Booking confirmation, Terms of Service, and final Invoice/MOT Certificate delivery.
We are aiming for a systematic launch within the next 4–6 weeks. Please provide a quote based on these requirements and let us know your earliest availability for a discovery call to finalize the sitemap and API choice.
Regards,
The Unity Team
