Technical Development Brief

Project Overview

We are building a fully automated fencing business platform designed to operate nationally across Australia without physical offices.

The goal is to automate the entire workflow from:

Customer enquiry → Site assessment → Instant quote → Acceptance → Contractor booking → Materials ordering → Job scheduling

The platform must minimise manual involvement and allow scaling nationwide using contractor networks and supplier integrations.

This will be a web-based application (mobile responsive) rather than a native mobile app.



Core Objectives
1. Customers can request a fence quote online and receive pricing instantly.
2. Quotes integrate directly with Xero.
3. Customers can accept quotes without staff involvement.
4. Contractors are automatically notified of available jobs.
5. Contractors can accept and schedule jobs themselves.
6. Materials are automatically ordered from suppliers when jobs are confirmed.
7. The entire process operates with minimal administration.



User Types

The system will have multiple user roles:

1. Customer

Homeowners or builders requesting fencing work.

2. Admin (Nationwide Fencing Staff)

Business owners or managers controlling pricing, contractors, suppliers, and oversight.

3. Contractor

Independent installers accepting and completing jobs.

4. Supplier (Optional Phase 2)

Material suppliers receiving automated orders.



System Modules

1. Customer Web Portal

Customers should be able to:
• Enter property address
• Enter fence length (or estimate)
• Select fence type
• Upload photos of fence line (multiple angles)
• Indicate:
• Existing fence removal required
• Obstructions present
• Terrain slope
• Gates required
• Access issues

The interface must be extremely simple and mobile-friendly.

The goal is quote in under 2 minutes.



2. AI Photo Analysis (Optional Phase 1 — Advanced Phase 2)

AI should analyse uploaded photos to detect:
• Vegetation clearing required
• Existing fence removal
• Obstructions
• Terrain difficulty
• Access constraints

Initially, this can be manual rules + user questions, with AI added later.

Important: Developer should design architecture to support AI integration later.



3. Instant Quote Engine

This is the most critical component.

The quote engine will calculate pricing based on:
• Fence type
• Linear metres
• Site difficulty
• Gates
• Removal
• Terrain
• Location postcode
• Contractor rates
• Material costs
• Margin rules

Admin must be able to modify:
• Pricing tables
• Labour rates
• Margins
• Supplier costs

Quotes must generate instantly on screen.



4. Xero Integration

Once a quote is generated:
• Quote is automatically created in Xero
• Customer details sync to Xero
• Pricing matches exactly

When customer accepts:
• Quote converts to invoice or job record in Xero

This integration is essential.



5. Customer Quote Acceptance

Customers should be able to:
• Accept quote digitally
• Sign electronically
• Pay deposit online (Stripe or similar)
• Select preferred installation timeframe

After acceptance:

System automatically creates job.



6. Contractor Portal

Contractors will have their own login dashboard.

They can:
• View available jobs in their region
• Accept or decline jobs
• Enter availability
• Upload completion photos
• Mark job complete
• Report issues

Contractor rating system should exist for quality control.



7. Job Scheduling System

Once contractor accepts:
• Job appears in master calendar
• Customer receives installation date confirmation
• Admin can override if required

Calendar should integrate with Google Calendar or similar.



8. Supplier Integration / Materials Ordering

When job is confirmed:

System automatically generates:
• Materials list
• Delivery address
• Delivery date

Supplier receives:
• Email order or API order
• Job reference
• Contractor contact

Initially email automation is acceptable.

Future API integration preferred.



9. Admin Dashboard

Admin must control everything from one place.

Admin features:
• Pricing tables
• Contractor management
• Supplier management
• Territory allocation
• Margin controls
• Job oversight
• Quote approvals (if required)
• Reporting
• Revenue analytics



10. Notifications System

Automated notifications for:

Customers:
• Quote ready
• Quote accepted confirmation
• Booking date
• Job reminders
• Completion confirmation

Contractors:
• New job available
• Job assigned
• Materials delivery scheduled

Admin:
• New job created
• Contractor acceptance
• Exceptions / issues



Geographic Scaling Requirements

System must support:
• Multiple states
• Multiple contractors per region
• Different pricing per location
• Postcode-based contractor allocation

This is critical for national rollout.

Developer to propose best stack, but platform should include:
• Cloud hosted (AWS / Azure / Google Cloud)
• Scalable architecture

Payment Integration

Customers should be able to:

• Pay balance
• Store payment records

Stripe or similar recommended.
