I’m looking for a streamlined web-based tool that will generate branded, error-free gate passes and material invoices on the fly. The core of the job is a PDF engine that captures item-wise weight and quantity (both individual and total) and stamps each document with a unique gate-pass number that aligns with our audit rules and branding guidelines.

Beyond the document itself, I need real-time material tracking. Every in-and-out movement must log entry and exit timestamps while tying back to material type and vehicle details. Automated alerts or notifications should trigger whenever a scheduled departure is missed, a duplicate entry is attempted, or an unexpected return occurs.

The workflow must remain fully digital: Store approval first, followed by Security and then Admin, with each stage time-stamped and visible inside the PDF’s signature section. Think of it as a simple drag-and-approve chain that eliminates paper entirely.

Key functional notes
• Auto-fill material data from a master list to reduce keystrokes and prevent duplicates
• Validation layer that blocks submission on repeated gate-pass numbers or mismatched weights
• Dashboard summarising live material in/out status, plus deep search by date, vendor, item, vehicle or gate-pass number
• One-click exports to PDF or Excel and automatic backup to our cloud drive
• Role-based access so Store, Security, Admin and Management each see only what they need
• UI must be responsive on phones and tablets for guards and storekeepers who rely on handhelds
