Scope of Work & Requirements
This outlines the comprehensive features and functionalities for the Attendance and
Time Tracking application. It covers both the Employee (User) Portal and the Administration
Portal, detailing the operational workflows, tracking mechanisms, and reporting structures
required to support bi-weekly and monthly payment cycles.
Part 1: Employee Portal (User Side)
1. Authentication & Profile Management
● Account Access: Employees log in using credentials created and provided by the
Administrator.
● Profile Setup: Employees can update basic personal information and setup
emergency/alternative contacts.
2. Attendance, Location, & Schedule
● Check-In/Check-Out: Employees start and end their shifts by capturing a selfie and
recording their geolocation (visible to both user and admin).
● Geofencing & Location Verification: The application verifies the checkout location
against the check-in location. If the distance exceeds 100 meters, a visual alert (e.g., a
red banner) is displayed to both the user and the admin.
● Location Discrepancy Handling: If the 100-meter threshold is exceeded, the user is
prompted to note the reason for the location difference. This time requires Admin approval
to be counted as paid time.
● Schedule Visibility: The dashboard displays the employee’s assigned schedule,
including designated break periods and times set by the Admin.
● Break Tracking: Employees utilize specific functions to start and end breaks to ensure
accurate tracking of working hours.
● Offline Capability: In the event of lost internet connection during check-in or check-out,
the application will store the timestamp and GPS data locally, syncing automatically once
the connection is restored.
3. Task Logging Workflow
● Sequential Task Tracking: Users log their daily tasks.
○ Task 1: Start time is automatically noted as the shift check-in time.
○ Task Completion: When the user clicks "Task Completed," the end time is logged.
○ Subsequent Tasks: Logging the next task automatically sets its start time as the
completion time of the previous task, creating a continuous timeline.
● Task Pausing: Employees can pause tasks for scheduled breaks or interruptions,
maintaining accurate time allocation per task.
4. Dashboards & Leave Management
● Work Summary: The dashboard displays a summary of accumulated work time and
tasks, filterable by Weekly, Bi-weekly, or Monthly views.
● Paid Time Visibility: The interface clearly highlights the total approved "Paid Time"
accumulated in the current cycle.
● Holiday Calendar: A dedicated tab displays all upcoming holidays managed and inputted
by the Admin, viewable in a calendar format.
● Leave Balances: Employees can view their accrued, used, and remaining balances for
different leave types (e.g., Vacation, Sick, Personal).
● Requests Management:
○ Historical Data: View all past requests and their statuses.
○ New Requests: Lodge new requests via a dialog box with dropdown options for:
Leave Request, Attendance Correction, and Late-Time Exception.
○ Leave Types: Select from Vacation, Sick, Personal, or Unpaid Leave.
● Notifications & Schedule Updates: When an Admin accepts or rejects a request, the
employee receives an email and in-app notification, and the schedule updates
automatically on both ends.
Part 2: Admin / Management Portal
1. Live Monitoring & Dashboard
● Real-Time Employee Roster: A list displaying all live employees, their check-in times,
current status (Online/Offline/On Break), and the specific task they are currently working
on.
● Location & Exception Flags: Immediate visibility into location discrepancies (users
exceeding the 100m threshold during check-in/out) and late check-ins.
2. Employee & Team Management
● Directory: A comprehensive tab showing all employees in the system.
● Team Grouping: Admins can create teams to facilitate collaboration.
● Team Chat: A built-in chat function allows team members to communicate. Admins have
master access to view all chat histories across all teams, while employees can only view
their respective team chats.
● Role-Based Access: Implementation of a "Manager" tier, allowing designated managers
to approve leave and timesheets for their specific teams, reporting up to the main Admin.
3. Approvals, Exceptions & Automated Actions
● Requests Inbox: A centralized tab for reviewing and approving/rejecting all employee
requests (Leaves, Corrections, Exceptions).
● Missed Punch Automation: If a user forgets to check out after their scheduled time, the
system automatically sends a notification prompting them to lodge an "Attendance
Correction Request."
● Approval Logic: If an Admin approves an attendance correction or location discrepancy,
the time is counted as Paid Time. If rejected, it is not counted and the time period may be
marked as absent.
4. Reporting, Auditing & Historical Data
● Time & Attendance Reports: Generate work time reports filterable by Bi-weekly
(standard for Canadian employees) or Monthly (standard for Indian employees) periods.
These reports provide the finalized "Paid Time" necessary for external payment
calculation.
● Historical Lookup: Admins can investigate any specific user's historical data, including
past tasks, timelines, and check-in/out logs, generating reports of paid tasks/time as proof
if needed.
● Automated Daily Digests: An automated daily email sent to the Admin summarizing the
daily task report and total hours of working employees.
● Audit Trail: A system log that records any manual changes made to timesheets (who
made the change, previous time, new time, and reason) to maintain data integrity.
