Cold Email Deliverability Specialist

Description:
I’m looking for an experienced cold email deliverability expert to help set up and configure cold email infrastructure across 3 VPS servers and 30 new domains, ensuring optimal deliverability and domain reputation from day one.
This is a technical role that requires strong experience in email domain setup, DNS records configuration, warm-up strategy, and inbox placement best practices. You should be able to fully manage the setup and provide post-setup documentation for long-term management.
Scope of Work:
Task 1: Domain and Email Infrastructure Setup (3 VPS, 30 Domains, 150 Senders)
• Configure 3 VPS servers to each host 10 domains.
• For each of the 30 domains, configure 5 cold email sender accounts (total: 150 senders).
• Ensure all email sender addresses are set up correctly with:
o Proper SPF, DKIM, DMARC, rDNS, MX, A, and TXT records.
o Clean IP reputation, no blacklist history.
o Healthy DNS and domain setup aligned with best cold emailing practices.
• Evaluate and suggest if extra dedicated IPs are needed for each VPS to avoid domain overlap or reputational damage.
• Install and configure all necessary email server software (e.g., Postfix, Mailwizz, PowerMTA, or equivalent) if required.
• Ensure domain privacy and domain registrar setup are properly handled.
Task 2: Instantly.ai Warm-Up Integration
• Set up all 150 email accounts inside instantly.ai with optimal parameters.
• Assign proper sending volumes, warm-up schedules, reply handling, and other necessary warm-up settings.
• Monitor or advise on ongoing warm-up strategy to ensure inbox placement.
Task 3: Final Handover Documentation
• Deliver a detailed documentation package, including:
o All email credentials (usernames & passwords).
o Complete DNS records and settings per domain.
o VPS and domain access details.
o Overview of server configurations, domain-to-VPS mapping, IP allocations, etc.
o Recommended best practices for daily use, scaling, or additional sender setup in the future.
Requirements:
• Proven experience with cold email infrastructure setup and email deliverability optimization.
• Strong understanding of:
o SPF, DKIM, DMARC, MX, rDNS
o VPS and DNS configuration
o IP warm-up techniques
o Cold email compliance and spam triggers
• Experience working with platforms like instantly.ai, Lemwarm, or similar.
• Familiar with major VPS providers (e.g., DigitalOcean, Contabo, Hetzner, etc.)
• Ability to deliver clean and organized documentation.
• Strong communication skills and fluency in English.
Optional but Preferred:
• Ability to advise on additional IP allocation strategy.
• Experience with domain reputation monitoring tools (e.g., GlockApps, MXToolbox).
• Ability to provide Ongoing Maintenance (can be quoted separately).
• Familiarity with email sending tools (e.g., MailShake, Smartlead, Instantly.ai).
