Operations & Research Virtual Assistant (E-Commerce Startup)

About Us
We are a growing wellness brand preparing to launch its first products across Amazon FBA and Shopify. Our team covers specialized areas like social media, e-commerce management, and finance — and we’re now looking for a versatile Virtual Assistant to help us stay organized, analyze data, and manage small but critical operational tasks.
We’re not looking for a task-only VA — we’re looking for someone smart, dependable, and proactive who can think a step ahead and help us move faster as a startup.
Role Summary
You’ll be our operations right hand — assisting across admin, organization, research, and reporting tasks. Expect variety: one week you may be cleaning product data or formatting a cost sheet; the next you may be compiling contact lists, drafting brand outreach emails, or helping organize Google Drive folders.
This is a great role for someone who’s analytical, enjoys structure, and loves supporting business growth through accuracy and efficiency.
Key Responsibilities
Data & Reporting
Create and maintain spreadsheets in Excel or Google Sheets (formulas, charts, pivot tables).
Support light reporting tasks — compile product or minor financial data into clean one-pagers or dashboards. (We have a finance manager, so no accounting activities are required)
(Nice to have) Build visual dashboards in Power BI, Google Data Studio, or similar tools.
Organization & Admin
Organize shared drives and documents in Google Workspace (Drive, Docs, Sheets, Slides).
Manage small operational projects — file labeling, document formatting, or version tracking.
Track deliverables across different teams and update simple progress logs or summaries.
Research & Outreach
Conduct online research (e.g., supplier leads, micro-brand collaborations, competitor checks).
Draft and send basic email inquiries to small brands or partners (templates provided).
Collect and summarize data into short reports or comparison tables.
Support Tasks
Assist with preparing internal reports for leadership (Excel/Google Sheets).
Occasionally help the finance manager by extracting simple QuickBooks or expense summaries.
Light proofreading and formatting of brand or business documents.
What We’re Looking For
Required Skills
Excellent English (written & spoken) — clear, concise, professional tone.
Strong Excel / Google Sheets ability (formulas, formatting, data cleaning).
Detail-oriented, organized, and comfortable following structured SOPs.
Able to handle multiple small projects with accuracy and accountability.
Preferred / Nice to Have
Experience with Power BI, Google Data Studio, or dashboard creation.
Familiarity with Amazon Seller Central or Shopify admin (read-only experience is fine).
Experience working in an e-commerce, finance, or startup environment.
Comfortable summarizing findings and presenting insights visually.
