Virtual Assistant – Digital Products & Customer Experience

Are you a proactive, detail-loving, tech-savvy virtual assistant who enjoys working independently and delivering real results?
We’re hiring a Virtual Assistant to take full ownership of the customer experience and admin systems behind a fast-growing digital education brand. You’ll be responsible for managing support, small digital product sales follow-up, chat group engagement, lead magnet flows, and digital product logistics — allowing the founder to focus on strategy, growth, and content creation.
This is a long-term role with room to grow. You’ll be an essential part of the mission to help freelancers, experts, and small business owners in Africa succeed through digital skills.

Your Core Results
You will be held accountable for:
Converting at least 25% of product inquiries into digital product sales


Resolving support issues (e.g., access, login, follow-up) within 24 hours


Managing community engagement (Telegram, WhatsApp, Messenger)


Ensuring automated funnels and delivery systems are functioning properly


Reducing the Founder’s involvement in daily support by at least 70%

Your Responsibilities
Customer Support & Tech Access
Respond to support tickets, emails, and chat messages within 24 hours
Troubleshoot account access, passwords, and platform navigation (EzyCourse)
Follow up with students who get stuck, ensuring completion and satisfaction
Use saved replies and templates for consistent, brand-aligned communication
Digital Products & Tripwire Management
Understand our DIY courses and tripwires, and help answer FAQs from leads
Manage access, delivery, and usage experience for paid digital resources
Suggest improvements to onboarding emails and delivery pages
Monitor tripwire and lead magnet conversions and report weekly
Community & Chat Management
Moderate chat groups (Telegram, WhatsApp, Facebook Messenger)
Welcome new members, tag relevant tutors, and maintain a warm tone
Prevent direct client access to Founder unless necessary
Funnel & Lead Magnet Monitoring
Check lead magnet delivery, email sequence performance, and opt-in rates
Troubleshoot broken automations, links, or payment page errors
Monitor CRM activity and update customer records with notes and reminders
Tools You Must Know (or Be Willing to Self-Learn Quickly)
You must be confident using most of these and eager to self-study any unfamiliar ones:
EzyCourse (learning platform backend – enrollment, login issues, access)
WhatsApp Business (labels, client messaging, follow-ups)
Messenger (page communication, tags, DM handling)
Telegram (group management, assignment tracking)
Gmail + Google Contacts (email handling, client record keeping)
Google Drive, Sheets, Forms (file sharing, basic data entry, submissions)
Canva (basic template edits, downloads, and uploads)
Facebook Page (community comment moderation, inbox management)
CRM (e.g., Airtable, Hubspot – notes, tags, follow-ups)
Helpdesk or Chat Widget (responding to inquiries via site chat)
Education & Skills Background
Formal education is not a requirement. What matters most is your ability to deliver results.
You should be:
Digitally fluent and organized
Able to work with minimal supervision
A professional communicator (written + spoken)
Indicative Certificates (not required but helpful):
Digital Skills (e.g. Google, Coursera, SavvyPro)
Secretarial or Administrative Certificates
Customer Service or Communication Training
Computer Studies, ICT, or Data Entry
Social Media or Digital Marketing Foundations
Any certificate showing proficiency in tech or client support

Work Conditions
Type: Part-Time (20–25 hours/week) to start
Location: Remote (Africa preferred). Lusaka, Zambia also preferred.
Pay: Competitive, based on experience
Start Date: As soon as possible
