Online Assistant (Virtual Assistant) — General, Industry-Agnostic Support | Part-time | Remote

Goal: I’m looking for a proactive online assistant who brings structure to my day-to-day, removes admin friction, and helps me focus on what matters most.

Time zone: Europe/Budapest (CET/CEST)
Start: ASAP
Workload: 10–15 hours/week (flexible), 1 short check-ins/day

Key responsibilities (industry-agnostic)

Time & calendar
• Build the weekly plan (fixed items, buffers, deep-work blocks).
• Send a Daily Top-5 priorities list at 08:45 CET.
• Review meetings, flag “time-sinks”, suggest cancellations/merges.

Email & communication
• Inbox triage 2×/day (Now / Today / Later) using quick-reply templates.
• Set automated follow-up reminders for outgoing emails.
• Tidy newsletters (unsubscribe/filter) and send a short weekly digest.

Documents & files
• Create a clean Drive/folder structure and naming convention (YYYY-MM-DD – Project – Version).
• Basic PDF work (merge/compress) and 1-page summaries of longer docs.

Tasks & projects
• Capture incoming requests/ideas, ask clarifying questions, set the next step.
• Build reusable checklists for recurring situations (travel, appointments, errands).

Light admin/finance (non-advisory)
• Maintain a bill/deadline calendar and reminders.
• Run a subscription audit (services, cost, renewal date, keep/cancel/replace).

Personal logistics
• Yearly maintenance calendar (medical, insurance, services).
• Gift & event planner (key dates, ideas, order deadlines).
• Weekly shopping-list templates.

Habits & health (non-medical)
• Track 3 focus habits (e.g., steps, water, sleep); weekly brief report.
• Protect gym/training slots in the calendar and avoid clashes.

Knowledge & learning
• 5-point summaries of articles/podcasts (key idea, quote, one action).
• Prioritised reading list (Now / Next / Later) with time estimates.

Travel & programs
• Mini-trip pack: 2–3 route options, 3 value hotels, local transport, 1-page itinerary.
• Packing checklists (1–2 days | 3–5 days | business trip).

Digital hygiene & automation
• Set up email filters, calendar templates, text-expander snippets.
• Apply a “one-in, one-out” rule for tools to reduce clutter.

Languages & tooling
• English: B2–C1 (working language).
• Hungarian: not required. Using DeepL is fine; I provide templates and will review HU outputs when needed.
• Tools: Google Workspace (Gmail, Calendar, Drive, Docs, Sheets); basic PDF skills. Notion/ClickUp/Trello are a plus.

What I’m looking for
• Proven experience as a VA/assistant or in admin/ops roles.
• Precision, systems thinking, proactive communication, discretion.
• Weekday availability 09:00–18:00 CET with 1 short check-ins (around 09:00 )

Success metrics (KPIs)
• Priority emails answered/followed up within 24–48 hours.
• 30+ closed email threads and 10+ updated tasks/projects per week.
• Files are 100% findable (the “two-click rule”).
• Fewer low-value meetings, more protected deep-work time.

Ways of working
• Communication: Messenger (or similar)+ email (English), one short daily check-ins.
• Files: Google Drive (shared folder).
• Tasking: Notion (or similar).
• Access: granted progressively under the least-privilege principle.
• Language workflow: For Hungarian outputs, you’ll use an English template → translate → quick self-check (names/dates/currency formats) → I’ll do final review.
