Position Overview
We are seeking a highly organized and detail-oriented Virtual Assistant to provide dedicated support to a senior technology executive actively engaged in a C-suite job search. The ideal candidate brings deep expertise in LinkedIn strategy, professional resume refinement, calendar management, and executive-level administrative coordination. This role is ideal for someone who thrives in a fast-paced environment, operates with high discretion, and takes genuine ownership of outcomes.
Key Responsibilities
Job Search Support
• Manage and execute a targeted job search strategy, including identifying open CIO/VP Technology roles that match the executive's profile and priorities
• Research target companies — reviewing technology strategy, recent news, financial performance, leadership teams, and culture signals
• Track applications, outreach, interviews, and follow-ups using a structured pipeline or ATS-style tracker
• Coordinate with recruiters, headhunters, and HR contacts on behalf of the executive
• Draft and send follow-up emails, thank-you notes, and outreach messages
LinkedIn & Personal Brand Management
• Optimize the executive's LinkedIn profile — headline, summary, experience, skills, endorsements, and featured section
• Monitor LinkedIn for relevant opportunities, connection requests, and recruiter messages
• Engage strategically with posts, articles, and thought leaders to increase profile visibility
• Draft original LinkedIn posts and articles aligned with the executive's voice and personal brand
• Grow and manage a targeted network of recruiters, peers, and decision-makers
Resume & Application Materials
• Tailor the executive's master resume for specific roles and industries, highlighting relevant experience and achievements
• Write and customize cover letters for each application, aligned to the job description and company values
• Maintain a library of resume versions, bios, and supporting documents
• Format documents for ATS compatibility and visual presentation
• Track and update career narrative across formats — resume, LinkedIn, executive bio
Calendar & Scheduling
• Manage a complex executive calendar across multiple time zones
• Schedule, confirm, and prepare briefings for interviews, recruiter calls, and networking meetings
• Send calendar invites, reminders, and pre-meeting research summaries
• Coordinate availability with recruiters, hiring teams, and external stakeholders
• Proactively resolve scheduling conflicts and maintain a clean, prioritized calendar
General Executive Administration
• Manage email inbox — triaging, drafting responses, and flagging time-sensitive items
• Conduct research and prepare briefing documents on companies, industries, and individuals
• Maintain organized digital filing systems for job search materials, contracts, and correspondence
• Handle ad hoc administrative tasks as needed with minimal supervision
Required Qualifications
• 3+ years of experience as a virtual assistant, executive assistant, or in a career coaching / recruiting support role
• Proven expertise in LinkedIn — profile optimization, networking, and content strategy
• Strong resume writing and editing skills, with experience tailoring materials for senior or C-suite roles
• Exceptional calendar management and scheduling experience across time zones
• Excellent written communication — ability to draft professional emails, cover letters, and posts in the executive's voice
• High degree of discretion, professionalism, and confidentiality
• Proficiency with tools such as Google Workspace, Microsoft Office, Zoom, and project/task management platforms
• Self-starter with strong attention to detail and ability to manage priorities independently
Preferred Qualifications
• Experience supporting C-level executives (CIO, CTO, VP) in job searches or transitions
• Background in technology, healthcare, or enterprise sectors
• Familiarity with ATS systems, job boards (LinkedIn, Indeed, Ladders, Dice), and executive search platforms
• Experience with personal brand or thought leadership content strategy
• Background in HR, talent acquisition, or career coaching is a plus
Compensation & Engagement
Compensation is competitive and commensurate with experience. This is a flexible, remote engagement that may be structured as part-time or full-time depending on the candidate's availability and the scope of work. The role is expected to involve approximately 15–30 hours per week, with capacity to scale during high-activity periods of the job search.
