Experience Executive Assistant Needed
Budget: $750 – $1,500 AUD
I'm looking for a reliable Executive Assistant with mid-level experience. Your main tasks will include managing schedules and appointments, handling correspondence and emails, and organizing travel arrangements.
We’re on a mission to become the number one product development company in the world, and we need you to make that happen. Our two directors have recently moved to Bali and invite you to become part of their personal team.
If you love planning out the perfect day, organising teams, scheduling events and retreats, negotiating with third parties, and over-delivery, you’re made for this job! The work itself will be flexible, and we will respect your boundaries, but we will ask you to be available for help on many days of the year including public holidays or weekends.
As you progress in this role, we may ask you to travel with our directors from time to time, all expenses will be covered by us. We will help your growth by having you join our public speaking courses and giving you access to all of our training courses, and we will ask you to invest in yourself by reading at least 16 non-fiction books per year with us. This will allow you to grow with our directors and keep rising to new heights.
We are not looking for someone who just does what is asked. As a successful applicant, you will be proactive by becoming accelerators to the performance of our two most senior executives. As an extension of that, you will make a positive impact on hundreds of employees, our clients, our larger community, and our charity arm that sends kids to school.
You will be responsible for:
- Providing high-level administrative support to our executive team, including managing calendars, scheduling meetings, creating agendas, and ensuring team members are prepared for said meetings.
- Managing appointments and travel arrangements for our two directors.
- Coordinate and facilitate meetings, conferences, and special events, handling logistics and providing necessary materials and support.
- Managing other assistants and staff members to accommodate requests.
- Handling communication on behalf of the directors, including emails, calls, and messages
- Conducting research and preparing reports or presentations as needed
- Assisting with personal tasks, such as errands or household management
- Maintaining confidentiality and professionalism in all interactions
- Other ad-hoc tasks to support the directors as needed
The right person for this role:
- Experience as an executive assistant, hotel manager, or any role that requires strong planning and management skills.
- Strong communication skills in English, both written and verbal.
- Proficiency in G Suite (Google Docs, Sheets, Slides, Gmail, Calendar) and Microsoft Office
- Minimum 15 hours of work per week, with flexibility to adjust hours as needed to accommodate urgent requests.
- Availability to work remotely and travel around Bali.
- Availability to work during public holidays and weekends. When you are unavailable yourself, you will need to be able to organize a backup.
- You will need a good laptop, and you will need to know how to use it.
- You will need to be able to drive or ride a scooter.
- Knowledge of Bali
