Executive Email & Communication Secretary
Budget: $2 – $8 USD
I’m the CEO of a fast-moving company and I need someone who can step in immediately to own every aspect of my day-to-day communications. Your primary focus will be my inboxes, but you’ll also act as the first point of contact on phone calls and instant-messaging channels.
You’ll work inside the tools I already use—Gmail, Outlook, Slack and WhatsApp—to make sure nothing slips through the cracks. Expect to handle three main email streams: client correspondence that demands prompt, polished replies; internal team threads that keep projects on track; and our outbound newsletters or marketing blasts that must be proofed, queued and monitored for follow-up.
Because speed matters, you should be comfortable drafting responses in my voice, flagging anything that needs my direct attention, and circling back until each thread is closed. When calls roll in, you’ll screen, route, or return them, logging quick summaries for me. On Slack and WhatsApp, you’ll triage messages, escalate priorities, and keep conversation history organized so I can locate key decisions at a glance.
Deliverables I count on every day:
• A morning inbox sweep with urgent items highlighted and suggested replies drafted
• Same-day responses sent on my behalf to routine questions and requests
• A concise end-of-day report summarizing resolved issues, pending follow-ups, and any calls taken
• Clean tagging and archiving of all email, call logs and chat threads for easy retrieval
