Executive Administrative Assistant

They will perform a wide range of support activities including calendar management, tracking or managing numerous projects, reviewing and managing email and other correspondence, interfacing with teams, and others on behalf of the CEO, travel arrangements, personal social media support, and other duties as required by a complex and evolving work environment.

Candidates must demonstrate experience supporting senior officials or principals on multifaceted and sensitive issues, exceptional time management and organizational skills, and high standards for attention to detail and quality of work. Fluent English spoken and written communication skills is essential.

Manage a complex calendar for the CEO:
- Serve as ‘gatekeeper’ for internal and external meeting requests, speaking engagements, media appearances, correspondences, and other requests
- Maintain diplomacy and tact during challenging negotiations, changing variables, multiple conversations, tight timelines, and varying degrees of pressure
- Align daily and long-range commitments to CEO’s evolving priorities and objectives

Help organize and synchronize the CEO’s efforts:
- Monitor steady stream of commitments and deadlines; manage workflow for a host of inquiries and deliverables
- Attend key planning meetings and take notes on follow-up action items; track the status of action items the CEO has assigned to himself and others
- Serve as an ambassador for the CEO to outside parties (e.g. strategic partners, investors, customers) as well as staff at Space Age

Manage preparation for events and meetings hosted/attended by the CEO:
- Coordinate logistics with event hosts or organizers and compile briefing documents detailing key event or meeting information
- Greet and welcome VIPs, faculty, invited guests, colleagues on behalf of the CEO with poise, tact, self-confidence, discretion, and good judgment

Perform the following administrative duties:
- Compose, edit, or draft letters, memos, reports, and other materials; review all correspondence for accuracy and completeness
- Develop and maintain CEO’s systems of organization, including files and databases, contact and mailing lists
Track, oversee, and reconcile CEO's financial expenses and reimbursements
- Perform special assignments and collaborate with colleagues on projects, programs, events, reports, and other deliverables as necessary.
- Communicate regularly with CEO's leadership and monitor key news sources to keep the CEO updated on happenings around the world as it relates to his company's professional interests

Perfectly fluent UK English language command oral and written
