Meeting Chat notes and privacy

Looking for a solution to a meeting problem

We use Microsoft Teams, we also have Zoom licenses

On Wednesdays at 9:00am the management team meet. There are 7 members and they all have laptops.

4 in Wellington in a Teams Room
2 in Auckland using laptops (may install a Teams room soon)
1 in Christchurch using a laptop

They use the chat function to record notes about the meeting.

At 10:00 the financial controller enters the waiting room and at 10:05 is allowed into the meeting – they discuss upcoming expenditure. The financial controller leaves the meeting at 1:30.

At 10:30 the HR manger enters the waiting room and is allowed straight in – they discuss an upcoming hiring freeze and the possible closure of a office at a emote location. The HR manager informs them about is disciplinary matter with a specific employee. At 11:15 the HR manager leaves the meeting.

At 11:00 the IT manager enters the waiting room and at 11:15 is allowed in and they discuss upcoming changes to security and the costs of implementation. At 11:30 the IT manager leaves the meeting.

At 11:30 the building manager enters the waiting room and is let straight in. They wish to discus the new colours for the reception area. At 11:40 the building manager leaves the meeting.

At 11:40 the management team discuss the outcome of the days meeting and at 12:00 they log off.

The Chat function is used as a method of recording the minutes of the meeting.

Problem,

Once someone joins the meeting and leaves they can see all the meeting notes, and as the morning progresses they continue to see the notes in their Teams window even though they have left the meeting

Is there a way we can prevent this from happening
