Set Up Secure Ubuntu Web Server for FileRun (with Domain & HTTPS)

Project Overview:
We are looking for an experienced developer/sysadmin to help set up a secure web server on an Ubuntu PC in our office. The goal is to deploy FileRun (https://filerun.com/) as a browser-based file access and sharing system, connected to our existing NAS storage (Synology & QNAP).

We want to testing FileRun to see if it works for our purposes. It will be running on our in-house network for the time being.

Scope of Work:

1. Install and configure web server stack on Ubuntu:
Preferred: Nginx + PHP-FPM + MariaDB
(Open to Apache if justified)

2. Install and configure FileRun:
Connect to mounted NAS directories (we currently have an issue connecting to QNAP but are running some tests)
Set up user access and permissions
Ensure stable performance for large media files

3. Domain & DNS setup (guidance required):
Advise how to set up and use a subdomain of our existing company domain (e.g. files.tmvc.sg)
Assist with DNS configuration
Configure external access if needed

4. Security setup:
HTTPS
Basic firewall configuration (UFW)
Secure server access (SSH hardening)

5. Remote access strategy:
Recommend best approach (direct access vs VPN such as Tailscale)
Implement chosen solution

6. Documentation (If needed):
Provide simple handover notes for:
Starting/stopping services
Adding users
Basic troubleshooting

Environment:

- Ubuntu PC (on-premise)
- NAS storage (QNAP & Synology) mounted to Ubuntu
- Office internet connection (static IP TBD)

Key Requirement:
We need guidance on domain usage:

- Should we extend our existing company domain (recommended), or use a separate domain?
Best practice for a secure, client-facing file sharing system

Deliverables:

- Fully working FileRun system accessible via browser
- Test connections to server (QNAP is currently being tested)
- Secure HTTPS setup
- Domain/subdomain configured
- Basic admin documentation

Preferred Experience:

- Linux server administration (Ubuntu)
- Web server setup (Nginx/Apache)
- Experience with FileRun or similar self-hosted systems
- Networking and DNS configuration

Timeline:
3 to 7 days - we need to set up the domain before we can request a filerun license.
