Build Multi-channel AI Assistant with Voiceflow

We are seeking an experienced Voiceflow / AI automation freelancer to build a multi-channel AI assistant that:

Handles incoming telephone enquiries using Voiceflow + Twilio

Responds to email enquiries using Voiceflow + Gmail + Zapier

Provides website chatbot support (embedded widget using Voiceflow share link)

Sends email summaries and appointment confirmations

Provides auction information to callers using our scripts

Books appointments (valuations, collections, drop-offs) via email or form

Assists customers with postage & packing requests

Helps buyers troubleshoot account setup

Gathers structured data (email, name, lot number, item description)

We already have detailed scripts, business rules, and workflows.
We need an expert to implement them properly in Voiceflow and connect the automation.

Platforms We Are Using

Voiceflow (latest UI – Agent + Canvas model)

Twilio (for phone number and telephony voice routing)

Zapier (for email sending, CRM tasks, appointment routing)

Gmail (for sending summary emails to customers)

Easy Live Auction (buyers may need help registering to bid)

Scope of Work
1. Telephone AI (Voiceflow + Twilio)

Create a natural voice answering system

Route calls to the correct topic (selling, buying, postage, valuations, collections, general enquiries)

Use our approved scripts for each topic

Capture caller name, email address, item details, lot numbers

Send email summaries using Gmail

Book valuations appointments and collection appointments via email form

Provide support for online bidding registration issues

Provide postage and collection information

Create fallback responses and escalation logic

2. Email AI (Voiceflow → Zapier → Gmail)

Integrate Voiceflow with Gmail through Zapier

AI should read inbound customer email text and automatically draft a reply

AI should send Sellers Pack, postage details, viewing times, etc

AI should categorise email:

Selling enquiry

Buying/bidding enquiry

Postage

Collection

Book appointment

General question

3. Website Chatbot AI

Create an embedded chat widget using Voiceflow “Chat” share link

Provide the same responses as telephone version

Must be able to send email summaries and Sellers Pack when requested

4. Integrations Needed

Twilio → Voiceflow for inbound calls

Zapier → Voiceflow for email sending & appointment routing

Gmail → For sending summaries and forms

Optional: Connect to Google Calendar or booking form

Freelancer Requirements

Proven Voiceflow experience (latest 2024/2025 UI)

Understanding of Zapier & Gmail integrations

Experience with Twilio call routing

Ability to build structured flows (telephone + email + chat)

Ability to create variables and data captures in Voiceflow

Clear communication

Good English
