Trucking Startup Accounting Support

Job ID: 40355210

Budget: $30 – $250 USD

My newly-formed trucking LLC is ready to move into S-Corporation status and I need a knowledgeable accountant or bookkeeper who can guide me through every step while keeping the day-to-day numbers in order. I operate on a very small scale—only a few transactions a week—so the workload is light, yet accuracy and compliance with U.S. federal and state regulations are non-negotiable. Experience with transportation or logistics books is a major plus.

Scope of work
• Maintain clean, cloud-based financial spreadsheets and issue weekly, monthly, and quarterly management reports.
• Prepare and file federal and state taxes, making sure the eventual S-Corp election (Form 2553) is handled on time.
• Run simple payroll for one owner-operator and any future drivers, staying compliant with IRS and DOT guidelines.
• Provide ongoing financial advice: cash-flow planning, cost-per-mile analysis, and tips to minimise quarterly estimated taxes.
• Assist with potential grants or low-interest loan applications tailored to trucking companies.
• Produce investor-ready statements and pitch-deck figures should outside funding be pursued.

Tools I already use—or am open to adopting—include QuickBooks Online, Excel/Google Sheets, and Gusto for payroll; feel free to recommend better options.

Timing & collaboration
Expect just a few hours of work each month, delivered remotely. If you are U.S.-based that’s ideal; if you live elsewhere, demonstrate solid experience with GAAP, U.S. tax law, and cross-border service logistics.

Deliverables are accepted when:
1. Books reconcile to bank and fuel card statements each month.
2. Payroll filings and tax deposits hit IRS and state portals on schedule.
3. S-Corp election is confirmed by the IRS and reflected in the next quarterly return.
4. All financials can be exported instantly for investor review.

Send a brief note outlining your trucking or small-fleet clients, the software you prefer, and how you’ll keep my compliance on autopilot while I keep the wheels turning.
