Spanish Administrative Assistant - International Student Recruitment

NOTE: Must be fluent in English and Spanish. Experience working in a Canadian Immigration/International Recruiting Agency is preferred.

The right person will be extremely organized, very driven by to-do lists and following up on items until completion. Must be SELF-MOTIVATED with very little oversight. Must be able to interact with clients professionally and deliver excellent customer service. Must not be afraid to pick up the phone, and must be resourceful enough to figure out the answer to things without hand-holding. This job will not require any sales, although business development and customer service are paramount. Recruiting International Students experience is ideal but not necessary.

- Acting as primary liaison between the Sales Agents, ESL School/College, and clientele, providing information, responding to requests, answering and/or redirect questions to whom appropriate.

- Collecting, uploading, filing and filling out appropriate forms

- Undertaking additional admissions/recruitment tasks as required such as schools’ events and other administrative work related to admissions.

- Following and keeping a precise record of payments from students and agencies.

- Develop document checklist while

- Coordinating schedules and managing calendars for multiple parties to ensure that activities are properly arranged with no conflicts

- Handling email, answering phones and directing calls

- Daily email updates and weekly phone updates to clients

- Entering and updating company, employee, and client records

- Data entry, preparing and manipulating Excel spreadsheets

- Scanning, merging & splitting PDF and send them to the appropriate parties

- Building folders and preparing presentation materials

- Responsible for maintaining and updating a database of names and client information

- Tracking transactions and managing paperwork from contract to closing

- Managing client’s retention strategy (e.g., update list of client’s gifts/cards to be sent out)

- Updating Website content – Pictures, Blog Posts, Events, Advertising Campaigns

- Writing down minutes and meeting summaries

- Handling sensitive information in a confidential manner

- Basic CRM experience is preferred – Updating pipeline, assigning leads, uploading leads, follow ups

- Knowledge of Active Campaign and Monday.com is preferred


Skills:

-Experience with Salesforce or advanced CRM platforms considered a strong asset

- Excellent written and verbal communication skills.

- Exceptional interpersonal and relationship building skills to interact effectively with prospective & existing clients, student recruiters, and external partners.

- Superior investigative, research, analytical and problem-solving skills

- Must be able to multitask, prioritize, and organize multiple competing deadlines and tasks

Contract based position, Monday through Friday best availability to respond is 5am to 9am Or 6:30pm - 10:30PM. Some flexibility to work on the weekends.
