1. About VILO
VILO is positioning itself as a luxury yoga and sports-athleisure brand, combining cutting-edge performance with couture-level finish. Our launch collection (leggings, sports bras, cropped tops, lightweight outer layers) requires certified, eco-forward fabrics that rival or surpass the Luon and Nulu families.
2. Scope of Work
Phase Key Tasks Deliverables
A. Outreach & Relationship Set-Up - Make first contact with priority mills (list below) and introduce VILO’s project.
- Secure NDAs and basic terms of engagement. - Initial call notes and contact sheets.
- Signed NDAs (PDF).
B. Technical Data Collection - Obtain swatch books in black and greige.
- Collect full tech sheets: GSM, composition, stretch %, recovery, pilling score, moisture management, UV protection, etc.
- Gather lab-test certificates (SGS or Intertek). - Swatch kit shipped to Dubai.
- Tech-sheet folder (Excel or PDF).
C. Sustainability & Traceability Audit - Verify source of recycled polyester (post-consumer PET water bottles).
- Request chain-of-custody documents (GRS or RCS).
- Obtain Bluesign, Higg FEM score cards, CO2 and H2O life-cycle data. - Compliance dossier for each fabric.
D. Commercial Negotiation Prep - Confirm realistic MOQ tiers, lead times, payment terms, exclusivity possibilities.
- Map shipping options to Dubai (air vs. sea) with transit days. - Supplier scorecard comparing MOQ, lead time, terms, sustainability.

Strong negotiation and supplier-relationship skills.
Ability to manage international sample logistics and customs paperwork.
5. Deliverables Format
Supplier Master Sheet (Excel or Google Sheets)
PDF dossiers (tech sheets, test reports, certificates, NDA copies)
Weekly progress report (concise email with next-step actions)
6. Timeline
We aim to finalise a shortlist and receive physical swatches within 4 to 5 weeks of contract start. Please include a realistic timeline in your proposal.
