Web App Solution
Budget: $3,000 – $5,000 USD
We have processes, some redundant, we would like to clean up through the use of a web app designed for our company. Here is a full laundry list of what the app would ideally do:
High Level Goals: Create a company-branded app that can be white-labeled and is scalable that streamlines the processes that exist in the company, to be used by all Team members in the company.
Initially, we would like the app to interface with Jobber (getjobber.com), our CRM and quote creation, and project scheduling app. Eventually, we would like to replace getjobber, lending to the idea that the app that the first iteration of the app is open to expandability.
Job Flow Functionality: When a job has a “wood pick-up,” an event that can be triggered by the Crew when on a job, that will create a task for the Team members who performs wood-pick-ups. When one part of the job is completed, such as tree removals, that will trigger the stump grinding to be scheduled, for example.
Replace Google Sheets for Commission and Production Per Man Hour (PPMH tracking): Right now multiple spreadsheets are used to calculate the Crews monthly PPMH, monthly add-ons, and other performance indicators in order to determine their end of month bonuses. Spreadsheets are also used to calculate commissions. Commission reports are not currently sent to the sales reps and they trust that their commissions are accurate. This app will send detailed commission reports to the sales reps so they understand how they are being paid and what they are being paid on.
Reporting: The app will provide weekly reports on Crew production, sales rep production and will highlight key matrices with reporting ability.
Team Communication: We currently used Voxer for Team communication. This app will improve upon the fundamentals of Voxer, allowing the creation of “Groups” and “Channels.”
Team Member Portal: Team members can request time off, request a meeting, order new supplies (ie uniform, ppe, etc).
Reviews: The app will allow for reviews to be scheduled and tracked. Reviews will allow for “actionable” items that can be scheduled and assigned.
Team Task Management: Team projects, to-do’s, etc will be assignable and trackable, with kaban, lists, hierarchy, etc views.
Onboarding: New Team members will go through the onboarding process electronically through the app.
Training Modules: Training modules will be created and used to further train and develop Team members on CRM use, sales, company processes, etc
Crew Lockers and Gear Management: Captains of a Crew will have the ability to request new gear (ie ropes, chainsaws, files, etc) from a storefront or request an item that isn’t in the store front. Their requests go to management which triggers management to order the equipment. When the equipment arrives, it can be “checked into the Crew’s locker” where it resides as equipment the Crew has been given with the date the equipment has been put into service.
Maintenance (Equip, Trucks and Machines): When a piece of equipment is in need of repair or service, it is entered into this part of the app where it triggers action to be taken by Crew Captains or Management. Steps of getting the equipment repaired and current repair status are tracked in the app. A history of specific equipment and truck repairs are tracked.

Replace MyTimeStation App for employee timeclock and interface with ADP payroll.
PIR Reporting: Managers visit Crews to perform PIR’s (project inspection reports), currently performed using Google’s Forms app.
