Creating a simple CRM and Opportunity Management environment, in a brand new D365 instance. 3. Requirements

Our business considers this exercise as a ‘stepping out’ into the world of customizing enterprise applications, in order to provide the right tooling for our business to continue to grow and have the right assets to scale with growth.
To this end, the scope of requirement for this first phase of work is simple and clear, designed to provide maximum impact for minimal outlay; success will be defined by delivering core functionality, whilst building a platform which will ultimately be expanded to provide value to other areas of the business.
There are two key areas we wish to address. They are:
• CRM
• Opportunity Management
• Workflow design to automate movement of tasks to individuals and task lists, notifications and document storage.

We understand the current functionality of the D365 application and would like it to be customized for our business including field labels and integration. Fundamental access and roles will need to be created in D365 and will be fed out of our AD. The initial API connection between MAM and D365 has already been established, however we would like this reviewed to ensure it meets best practice.

3.1 CRM
We would like to have the D365 interface customized for our internal labeling to ensure continuity across the business. All main functionality required is already available as standard in D365 but we need some of the naming to be updated.
Our main requirements include the below:
- Parent / Child relationships at account level
- Multiple sites per Account / customer
- Customer contact details and structure mapping (available already in the platform) including name, title, mobile, email ect and then in to organizational structure.
- Referencing existing locations in SharePoint for documents and data (ie.. customer folders)


3.2 Opportunity Management
We would like to deliver a better user experience to our sales staff. To this end we would like an opportunity management capability. Again, most of the requirements are available in D365 as standard but we would like some customization for integration in to our business. Additionally, we would like to provide better individual and business reporting and visibility of open and closed opportunities.
- Create a workflow for sales opportunities.
- Opportunity creation with details including – Client, contact, project description, % to close, Value)
- Once an opportunity reaches a determined % then require additional information on the structure of the deal (Hardware, Professional Services, Managed Services, Project management) each with a value that roles up to the total.
- At the same percentage require a MAM number to be included.
- Then closure process of attaching customer approval.
- All opportunities need to be able to be reported on by the individual and management.
- Identity profiles and business structure will need to be included to ensure only the correct staff can see the details and report effectively.
- Open opportunity notification. If a opportunity has been opened for longer than 6 weeks the account owner and the manager is notified. These also need to be able to be reported on.
