Automated email software

I run a company that provides exotic animal handling experiences to schools and parties.
I have 10 employees who are based across the UK
I receive around 80 email enquiries per day

I am looking for a programmer who can write me some bespoke software which will do the following

- check gmail enquiries from customers
- calculate which of my 10 presenters is closest
- calculate travel costs based on the distance
- reply with a standard email and include the travel costs.
