Shopify automated function

Hello everybody,
I am currently building a Shopify store where I will be selling personalized products such as T-shirts.
The workflow currently looks like this:
1. Customer can upload his pictures to the product (function is already integrated)
2. Customer orders
3. I create a design from the images
4. I send the design to the customer by e-mail
5. Customer confirms or requests changes to the design by e-mail
The problem: Sending the design by e-mail is uncomfortable. It is also awkward for the customer to reply to the email with own words.
I would like to have the following solution with two custom options:
1. For customers who have a customer account: I can upload the created design to the customer profile after placing the order. The customer sees the design with his order information. The customer now has two buttons there. "Design is perfect. Order! (Wording is just example)" and "Change request". If the customer clicks on "Order" it will show me in Shopify that the design is approved. If the customer clicks on "Change request", a text field appears where change requests can be entered. I must be notified by e-mail after the customer either has approved or wants changes.
If the customer has submitted change requests, there is an option for me to upload the new (changed) design. Then again same process. Either "Order" or "Change requests".
The customer should be notified each time with an email as soon as I have uploaded the design.
2. For customers who do not have a customer account/have ordered as a guest: The customer should automatically receive an e-mail of the design as soon as I upload the design to the shopify order. There should be two buttons in the e-mail. "Design is perfect. Order!" and "Change request (with text field where you can specify what should be changed)". This e-mail template should always be changeable by me.
I must be notified by e-mail after the customer either has approved or wants changes.
The function must be simple all in all. The function is not needed for all products. It is still important that it must be built in such a way that I can use this function for products that will be added in the future.
Is it possible to add such a function to my Shopify store? Maybe someone have suggestions or ideas how to design it. I would be very happy about a feedback.
