Project Title:
Integrated Project Management Automation – Xero, SharePoint, and Google Maps
Objective:
To develop a solution that automates project creation, document handling, and geolocation tracking by integrating:
Xero (for project/invoice creation)
SharePoint (for document and page management)
Google Maps (for visualizing job sites)
This system should streamline our project workflow, reduce admin time, and centralize project data access via interactive map pins.
Scope of Work
Core Features:
1. Automated Project Creation from Xero
Monitor for new Project Codes created in Xero.
Automatically trigger the creation of:
A new SharePoint site/page or folder using the project name/code.
A job location entry on a central Google Map interface.
Link the SharePoint folder and Xero project data to the map pin.
2. SharePoint Integration
For each project code created:
Create a structured document folder/page in SharePoint with predefined subfolders (e.g., Invoices, Site Photos, Reports).
Ensure the SharePoint URL is attached to the corresponding Google Maps pin.
Enable users to upload/view project files via SharePoint directly.
3. Google Maps-Based Dashboard
Central interactive Google Map with:
Pins representing active project locations.
On click, display:
Project code and name.
Linked SharePoint folder.
Linked Xero project data (e.g., budget, invoices).
Ability to search/filter pins by:
Project status (Active/Complete)
Region/Suburb
Project Manager
4. Admin Portal or Panel
Web interface to:
View all synced projects.
Manually override or edit job pin data.
Add additional project details (client, PM, due dates).
View sync logs (Xero ↔ SharePoint ↔ Maps).
5. User Access Control
Admin and Read-Only roles.
Possibly SSO or Microsoft 365 login (optional).
