Office 365 SharePoint File Tag Coding & Creating Ticket Tracking System

Job ID: 33401754

Budget: $250 – $750 USD

I have three important sub-projects. One is basic data entry and coding tags into our many SharePoint files and folders. The second is creating a ticket tracking system. The third is help us configure our Microsoft Defender for End-Point and other Permissions and Security settings across our Office 365 Business Premium environment. We have ~25 users of which there are only approx 11 end-points, so the scope of the project is not very large.

All three sub-projects are described below in greater detail. I am looking to work with a freelancer that is has past portfolio projects that are identical or very similar to our needs.

1. Sub-Project #1: Keyword tagging files and folders in SharePoint and configuring security/user permissions.
This is primarily a data entry task. We recently migrated from Google Drive to SharePoint. All of our SharePoint hub site and subsites and document libraries are already configured with the all folders and content within them. We need someone to help us create our enterprise keywords list and then go through each SharePoint site to create the keyword tag column and tag each folder and library accordingly. Lastly, we will want to have someone double check to make sure our user permissions are setup correctly— certain document libraries, subsites, and folders should not be visible, contribute only, etc. for users.

2. Sub-Project #2: this is most important to us. We need assistance in creating a help ticket tracking system in SharePoint and Office 365. Essential we have a maintenance person who receives repair requests from various locations. Below is a list of the capabilities we desire:
(1) An Email or Microsoft Teams request should create a Maintenance Request Ticket on a SharePoint List or MS Teams Workspace?
(2) Maintenance Request Tracker should have Columns as listed on prior created Maintenance tracker —> see note #1 below
(3) Should have an ability to add attachments to ticket as well,
(4) Columns for tracker should allow for “Assigned”, “Repair in Progress”, “Complete”, “Closed” — ticket will auto close after 24 hours of it being marked at “Complete” or if store manager or main office marks it as “Closed”.
(5) Recurring Preventive Maintenance tasks to recurringly populate at relevant annual dates on Maintenance tracker (We have these all enumerated and listed)
(6) Ability to integrate/move assigned Tickets/Projects to Daily, Weekly, or Monthly to Microsoft To Dos App or Outlook Calendar

Lastly, Sub-Project #3: this is not as important as #1 or #2, but help configuring Microsoft End-Point Manager for our Office 365 environment for the approx 10 Business Premium Users. This project is just to help us properly configure our security policies and Microsoft Defender and other protections across our email protection, end-points, and setup the End-Point manager tool to auto update security updates and provide us notifications of any identified threats or cybersecurity issues.
