Project Overview:
We need to develop a solution for dynamically maintaining an employee list in Microsoft 365 and automatically updating organizational charts for departments and HQ. Due to limited admin access, the solution must rely on the tools available to a SharePoint site admin, avoiding dependencies on Admin Center or Azure AD.
Objectives:
1. Centralized Employee List:
o Create a central repository (e.g., SharePoint List or Microsoft Lists) to store employee data, including:
 Employee Name
 Job Title
 Department
 Manager
 Other relevant fields as needed
2. Dynamic Updates:
o Automate data management using Power Automate workflows to:
 Handle new entries, updates, and deletions from the employee list.
 Notify specific users (e.g., HR or department admins) when updates are made.
3. Org Chart Automation:
o Generate dynamic org charts using data from the employee list.
o Ensure charts can be filtered by department and HQ level, and update automatically as the list changes.
Requirements:
1. SharePoint Integration:
o Utilize SharePoint or Microsoft Lists as the primary data source.
o Ensure the solution can operate without Admin Center access.
2. Power Automate Workflows:
o Build workflows to automate data updates and notifications.
o Integrate workflows with existing SharePoint permissions.
3. Org Chart Visualization:
o Recommend or develop a visualization tool (e.g., Power BI, Visio) we do not have or SharePoint Org Chart web part.
o Ensure the visualization reflects real-time updates from the employee list.
4. User-Friendly Interface:
o If feasible, build a simple Power Apps form for HR or department heads to input data, reducing manual maintenance.
Deliverables:
1. A centralized employee list in SharePoint or Microsoft Lists.
2. Power Automate workflows for dynamic updates and notifications.
3. An automated org chart solution linked to the employee list.
4. Documentation on how to manage and maintain the solution.
Constraints:
• No access to Microsoft Admin Center or Azure AD.
• The solution must rely on permissions available to a SharePoint site admin.
• Avoid hardcoding dependencies on admin-only features.
Timeline:
• Provide an estimated timeline for development and testing.
