Step 2: SAP SuccessFactors Triggers Power Automate with Candidate Details
1. Once HR submits the onboarding request, SAP SuccessFactors triggers an integration to send candidate details to Power Automate.
o This might be done using SuccessFactors’ OData API or Integration Center to send the candidate details to Power Automate.
2. Power Automate receives the candidate details (name, position, etc.) from SuccessFactors and triggers the next step in the workflow.

1. Power Automate collects the required candidate documents (certificates, passport details, etc.) from the candidate, usually via email, external file uploads, or a form.

o Scenario 1: If SuccessFactors has an area to store documents
 Power Automate uploads the documents directly to the correct SuccessFactors object (e.g., Candidate or Onboarding Record).
o Scenario 2: If SuccessFactors does not have a dedicated area to store documents:
 Power Automate sends a trigger notification to HR or the relevant team in SuccessFactors indicating that the documents have been collected.

1. Trigger Event in SuccessFactors:
o HR submits an onboarding request within SuccessFactors.
o SuccessFactors sends an API call or trigger event to Power Automate to notify that onboarding has been initiated.

o Power Automate receives the candidate details and identifies the next step in the process.
o Candidate is asked to submit necessary documents (e.g., certificates, passport, etc.) through an external form or email.
3. Document Collection and Validation:
o Power Automate verifies and collects the documents (e.g., using Microsoft Forms, OneDrive, or SharePoint).
o Documents are validated (size, format, etc.), and Power Automate prepares to upload them to SuccessFactors.
4. Push Documents to SuccessFactors:
o If SuccessFactors has document storage available: Power Automate uploads the documents to the corresponding employee onboarding record or candidate profile in SuccessFactors.
o If SuccessFactors does not have storage space: Power Automate triggers a notification to SF indicating that the documents have been collected and the documents will be stored at SharePoint or One drive.
