B2B Consumable Procurement SaaS Development

Job ID: 40122018

Budget: $25 – $50 USD

SaaS Cloud App – Consumables Procurement Platform

Freelancer Development Brief

1. Project Overview

We are looking to build a B2B SaaS cloud application that simplifies consumables procurement for small and medium businesses (SMBs).

The product’s goal is to:
• Centralize consumables purchasing
• Reduce stockouts and emergency buying
• Automate reordering and approvals
• Give SMBs visibility, control, and cost optimization

Think of it as a lightweight, modern procurement + inventory assistant, not a heavy ERP.

This is a greenfield project with strong long-term potential. We are looking for experienced freelance developers who can help us design and build a production-ready MVP with scalability in mind.

2. Target Users

Primary users:
• Small & medium businesses (10–250 employees)
• Light manufacturing, print shops, decorators, warehouses, offices, retail, hospitality
• Businesses that regularly purchase consumables (supplies that are used up)

User roles:
• Business Owner / Admin
• Purchasing Manager
• Operations / Staff (requesters)
• Accounting (read-only / export)

3. Core Problem We Are Solving

Today, SMBs typically manage consumables using:
• Spreadsheets
• Email threads
• Supplier portals
• Tribal knowledge (“we’re low on X”)

This leads to:
• Overstocking or stockouts
• Manual reordering
• Poor visibility into spend
• No forecasting
• Lost time and higher costs

Our app should make procurement simple, automated, and proactive.

4. Core Features (MVP Scope)

4.1 Consumables Catalog
• Create and manage consumable items
• SKU, supplier, cost, unit, category
• Multiple suppliers per item (future-proofed)
• Notes & internal tags

4.2 Inventory Tracking (Lightweight)
• Current stock levels
• Minimum / reorder thresholds
• Usage rate (manual or calculated)
• Alerts when thresholds are reached

This is not a full WMS — accuracy over complexity.

4.3 Smart Reordering
• Reorder suggestions based on:
• Min/max levels
• Average usage
• Lead time
• One-click reorder
• Manual or automated reorder rules

4.4 Purchase Orders
• Generate POs
• Status tracking (draft / sent / received)
• Supplier association
• Export (PDF / CSV)

4.5 Supplier Management
• Supplier profiles
• Contact info
• Lead times
• Price history (basic)

4.6 Alerts & Notifications
• Low stock alerts
• Order reminders
• Email + in-app notifications

4.7 Dashboard
• Stock health overview
• Items at risk
• Recent orders
• Monthly spend snapshot

5. Nice-to-Have (Post-MVP / Phase 2)
• Supplier integrations (API / EDI)
• Approval workflows
• Multi-location inventory
• Budget limits per department
• Forecasting & trend analysis
• Accounting exports (QuickBooks/Xero)
• Mobile-first experience / PWA

6. Technical Expectations

6.1 Architecture
• Cloud-native SaaS
• Multi-tenant
• Scalable & secure
• Clean separation between frontend and backend

6.2 Preferred Tech Stack (Flexible)

Frontend
• React / Next.js / Vue (open to recommendations)

• GDPR-ready architecture

7. Design Expectations
• Simple, clean, business-oriented UI
• No ERP-style clutter

• Opinionated UX (guide users to best practices)

Wireframes exist at a conceptual level, but we are open to collaboration on UX decisions.

8. Deliverables
• Functional MVP (production-ready)
• Source code (repository-based)
• API documentation
• Basic deployment instructions
• Clean, maintainable codebase

9. Engagement Model

10. Who We’re Looking For

We are not looking for beginners.

Ideal candidates:
• Proven experience building SaaS products
• Strong backend + data modeling skills
• Experience with multi-tenant systems
• Product mindset (not just task execution)
• Comfortable challenging assumptions and suggesting improvements
