Tender Bid Assistance: Service Delivery & Waste Management

I would like 4 questions answered in relation to a tender bid we are applying for. The questions are as follows

Question 1- Service Delivery Methodology and Void Property Turnaround
Weighting: 10%
Please detail your methodology and approach for what is involved in the Contract and how you propose to carry out the services to the highest standard of quality, with a particular emphasis on clearance and cleaning of voids. Your answer must detail how they will achieve and, if possible, exceed the turnaround times for void properties, recognizing that this is a critical path activity in IDS’s process for re-letting.

Please detail your awareness of relevant legislation and industry standards and explain how your organisation ensures ongoing compliance.

Question 2- Waste Processing and Management Strategy
Weighting: 10%
Please provide a detailed explanation of how you will manage and process the various types of waste generated throughout the contract. The response must include details on:

Processing Clinical and Non-Clinical / Biohazard waste
Large Scale Clearances
General Waste
Contaminated sub-stances

Please include information on waste segregation, disposal routes, environmental compliance and any certifications or partnerships with licensed waste carriers.

Question 3- Risk Management, Quality Assurance and Health and Safety
Weighting: 10%
Please provide a statement identifying the key risks associated with this project and outline your proposed mitigation strategies.
Include details of your quality control processes, including how you will monitor and maintain service standards throughout the contract duration.
Your response should also include a summary of your company’s Health and Safety management approach, with specific reference to:
• Implementation of policies and procedures across all service areas
• Supervision and oversight of works
• Requirements for Building Control approval (where applicable)
• Snagging and handover processes
• Maintaining high standards of workmanship in all service environments

Question 4- Communication and Resident Engagement
Weighting: 10%
Please describe in detail how you would ensure effective communication throughout the contract, including

1. Communication with residents with reference to EDI and vulnerable residents
2. Handling complaints
3. Capturing and responding to feedback
4. Resident safeguarding

The answer should clearly describe whether this will look different with the different groups of residents, i.e., Rented and sheltered schemes and how this will be handled.
