Canadian Event Coordinator for Charity Challenge
Budget: $1,500 – $3,000 CAD
Project Title: Event Coordinator for the “Mountains We Climb Charity Mental Health Challenge”
Description:
We are seeking a dedicated Canadian Event Coordinator to lead outreach, team recruitment, and sponsor procurement for the “Mountains We Climb Charity Mental Health Challenge” event, benefiting the Canadian Mental Health Association. This nationally recognized event will run from April 29 to May 7, and your primary responsibilities include recruiting and onboarding teams from universities, colleges, and high schools across Canada—ensuring all team registrations are finalized by April 23—and securing sponsorships from Canadian businesses, government agencies, hospitals, or other interested donors.
In addition, we require support on the event launch day (April 29) and on cheque day (June 2, 2025) in Toronto, when proceeds are formally handed over. While your main focus will be on team onboarding and sponsor procurement, further involvement on these dates is negotiable.
As recognition of your contribution, your name will be featured on a commemorative flag at the base of Mount Everest and on our social media channels and website for one year.
Key Responsibilities:
Team Procurement & Onboarding:
Develop and implement an outreach strategy to engage educational institutions nationwide, connecting with school contacts, student organizations, and administrative staff to secure team registrations by April 23.
Sponsor Procurement:
Identify and approach potential sponsors across Canada—including businesses, government agencies, hospitals, and other donors—to secure financial or in-kind support for the event.
Event Day Support:
Assist with the launch of the event on April 29 and provide support during the event period (April 29 – May 7).
Cheque Day Assistance:
Offer support on cheque day, scheduled for June 2, 2025 in Toronto (negotiable based on further discussion).
Communication & Coordination:
Provide regular progress updates on recruitment, sponsorship efforts, and logistical planning while collaborating with our internal team to manage participant data and event details.
Requirements:
Must be based in Canada.
Proven experience in event planning or coordination, preferably with nonprofit or charitable projects.
Demonstrated ability to secure sponsorships or partnerships.
Excellent communication and networking skills, particularly within educational and corporate communities.
Highly organized, detail-oriented, and self-motivated, with the ability to meet tight deadlines (final registrations by April 23).
Budget & Compensation:
Maximum project fee: $2,000 (with a portion of proceeds benefiting the Canadian Mental Health Association).
Additional perks include national recognition with your name on a commemorative flag at the base of Mount Everest and a one-year feature on our social media channels and website.
