Full Governance and Departmental Responsibilities
Budget: $30 – $250 USD
Project Description: Full Governance and Departmental Responsibilities for Diriyah Season
We are seeking a freelancer to develop and present a comprehensive governance structure for the Diriyah Season. This project is similar to the Riyadh Season in terms of scale and operations, and your deliverables should reflect that complexity and detail. The primary goal is to clearly define the roles and responsibilities of various departments and personnel involved in organizing and managing the event.
Deliverables:
Governance Framework:
Design and outline a clear governance structure for the Diriyah Season. This should include an overview of the leadership hierarchy, decision-making processes, and key governing bodies overseeing the event.
Define the roles and responsibilities for each team member involved in the management of the event.
Identify the key departments involved (e.g., event management, operations, logistics, marketing, security, hospitality, etc.) and establish their interaction points within the governance framework.
Departmental Responsibility Matrix:
Create a matrix that identifies the departments, their roles, and specific tasks for which they are accountable.
Define each department’s scope and interaction with other departments to ensure smooth collaboration during the event.
Identify any critical milestones or timelines each department must adhere to.
People Presentation:
Develop a presentation that outlines the people involved in the Diriyah Season. This includes key team members, their roles, responsibilities, and points of contact.
Present an organizational chart that visualizes the reporting lines, departmental relationships, and key personnel.
Include bios or brief introductions of key leadership figures for clarity and to provide context to the stakeholders.
Stakeholder Communication Strategy:
Establish a communication plan for informing all involved parties, including internal teams, external partners, and government entities. This should include frequency of updates, key points of contact, and escalation procedures.
Outline how different stakeholders (e.g., sponsors, local authorities, vendors) will be engaged and informed throughout the event.
Risk Management and Contingency Planning:
Provide a framework for identifying potential risks to the event, including operational, security, and logistical challenges, and how each department will address these risks.
Suggest contingency plans and fallback strategies for critical areas such as emergency response, traffic management, and venue security.
Expected Outcomes:
A detailed governance structure that ensures all aspects of the Diriyah Season are managed efficiently and with accountability.
A comprehensive departmental responsibility chart that clearly defines ownership and expectations.
A polished, professional presentation of key personnel and stakeholders for internal or external use.
A risk management plan that ensures the event runs smoothly with a clear response strategy for potential challenges.
