1. Introduction
The LIFE Education Trust requires an external consultant to evaluate and improve our current Management Information Systems (MIS). This brief specifies the purpose, goals, and expected outcomes of the consultancy.
2. Objectives
The primary objectives of this consultancy are as follows:
• Evaluate the efficiency of our current MIS, focusing on speed, performance, and usability.
• Assess data capture and recording processes to ensure accuracy, completeness, and compliance with data protection regulations.
• To identify the expectations and needs we should have from our MIS, such as reporting, data analytics, and integration features.
• Provide recommendations for system enhancements and where needed alternative MIS options.
3. Scope of Work
The consultant will undertake the following tasks:
3.1. Efficiency Evaluation:
• Review the speed and performance of our current MIS.
• Review the user interface and ease of use for our users.
• Evaluate how well our MIS integrates with other systems and platforms.
3.2. Data Capture and Recording Assessment:
• Review the processes for data capture and recording within our MIS.
• Review the accuracy and completeness of data.
• Assess the security and privacy measures in place for sensitive data.
3.3. Expectations and Needs Definition:
• Define our current expectations and requirements from the MIS.
• Explore evolving needs, reporting requirements, data analytics, and integration with other software tools.
• Assess the feasibility and suitability of emerging technologies and trends in MIS, such as cloud-based solutions, mobile accessibility, and artificial intelligence.
3.4. Recommendations:
• Provide a comprehensive report with findings, strengths, weaknesses, and recommendations.
• Where needed, propose a shortlist of alternative MIS options that meet our expectations and needs and are compatible with our existing infrastructure.
4. Deliverables
The consultant will deliver the following:
• A detailed evaluation report, including findings and recommendations.
• A practical implementation plan, including timelines and resources
• Where needed, a comparison of alternative MIS options, including pros and cons.
• A presentation to senior leaders to discuss the evaluation and recommendations.
5. Timeline
The consultant will complete the evaluation and deliver the outputs within a reasonable timeframe as agreed upon mutually.
6. Reporting and Communication
The consultant will report to David Turrell, Executive Headteacher and Peter Whitelock, Chief People Officer. Regular updates on the progress and status of the evaluation and recommendations will be provided as per the agreed-upon schedule.
