1. Project Objective

The main objective is to implement the Odoo ERP as the company's central management system, migrating from the current system. The implementation must ensure business continuity, especially for the Quote-to-Cash workflow, and adapt key functionalities to the specific needs of the construction industry and Spanish labor regulations.

2. Implementation Scope and Functional Requirements

2.1. Module 1: Time Tracking (Clock-in/Clock-out)
A time tracking system is required that complies with Spanish legislation and is adapted for on-site construction personnel.

Device: Clock-in/out actions will be performed from each worker's personal mobile phone through the Odoo app.

Geolocation: The system must register and store the GPS coordinates of the worker at the exact moment of clocking in and out to verify their presence on the job site.

Assignment to Projects: When starting their shift, the worker must select the job site or project to which they are assigning their time.

Break Management: The application must include functionality for workers to register the start and end of their breaks (e.g., for lunch).

Approval Workflow: Time entries registered by workers must be periodically validated (e.g., weekly) by a supervisor or site manager through Odoo.

Incident Management: A protocol must exist for an administrator to manually register or correct time entries for justified incidents (e.g., forgotten clock-in, dead battery, etc.).

Reports: The module will generate reports of hours per employee and per project, exportable to PDF and Excel/CSV formats for analysis and use in payroll management.

2.2. Module 2: Quotes and Sales
The Odoo quoting module will be adapted to optimize the construction workflow, based on a system of kits or templates.

Kits as Templates: "Product Kits" will be created and managed in the inventory as master templates. These master templates shall be immutable and cannot be altered from within a quote.

Flexibility within the Quote:

When adding a "Kit" to a quote, the system will create a section containing all the products and materials that comprise it.

Within that specific quote, the user WILL be able to modify the quantities and prices of the product lines that make up the kit, to adjust to the actual needs of that job.

The user will also be able to add new products (not included in the original kit) within that same section of the quote.

Data Integrity: It is essential that any modification or addition of products within a quote only affects that specific document, without ever altering the original "Kit Template" stored in the product database.

Quote Display Options: To improve the clarity of quotes for the client, the system must allow for two display modes for the kit sections:

Detailed View: Show all individual product and material lines within the section, each with its quantity, unit price, and total.

Summary View: Hide all product lines from the kit and display only a single line item with the section's name (e.g., "Drywall Installation - 10m²") and the total price for that section. The user must be able to easily switch between these two views before sending the quote to the client.

2.3. Data Migration
Data migration is a critical step to ensure the company can operate from day one. The entire workflow from quote creation to invoicing will be prioritized.

Priority 1 - Master Data: The first phase of migration will focus on the foundational data required for daily operations:

Complete database of Customers.

Complete database of Suppliers.

Catalog of Products, Services, and Materials, including the configuration of all "Kit Templates".

Priority 2 - Historical Data: The feasibility and cost of migrating historical data such as old quotes, invoices, and projects will be evaluated.
