Proactive Property Management Assistant
Budget: $1,500 – $3,000 USD
I’m looking for someone who can step in and keep my small portfolio of rental homes running smoothly day-to-day. The role is a mix of tenant-facing communication and behind-the-scenes coordination, so you’ll need to be equally comfortable drafting a polite email, chasing a contractor for an update, or sharing a new vacancy on the major rental platforms.
Day to day you will:
• Answer new rental inquiries, pre-screen prospects, and book showings.
• Keep tenants informed—whether that’s by email, quick phone call, or a messaging app—so they always know the status of their requests.
• Schedule and confirm property inspections, sending me a concise report when complete.
• Receive maintenance tickets, assign them to the correct vendor, and follow up until work is finished and photos are filed.
• Post fresh listings (copy, photos, pricing) to Zillow, Facebook Marketplace, and MLS-linked portals, then monitor ad performance.
• Handle occasional local errands such as dropping off keys or checking a vacant unit, if you’re in the area; otherwise coordinate remotely.
Tools you’re already comfortable with—Google Workspace, AppFolio, Buildium, or similar—will help you hit the ground running, but I’m open to your preferred workflow if it keeps everything organized and transparent.
I track progress weekly, so expect to send a short status summary every Friday outlining inquiries handled, inspections scheduled, and maintenance closed. If you’re naturally proactive, love ticking tasks off a list, and can keep both tenants and vendors happy without needing constant direction, let’s talk.
